Recruitment & Selection

Tasks & responsibilities

  • Support HR Manager in Recruitment & Selection of Staff.
  • Collection of Recruitment Request Form, proper approvals and forwarding to capital for processing
  • Assisting HR Manager in operational activities like short-listing, making arrangements for test/interview recruitment exercise
  • Prepare job advertisements as per guidelines
  • Conduct test and make calls for interviews
  • Informing Candidates about the selection or rejection of their candidacy
  • Conducting reference checks of the selected candidates
  • To assist in the preparation of the offer letter, job contracts and any other document in regards to recruitment.
  • Support HR Manager in staff Orientation and ensure new employees are properly oriented.

Objective 2

HR Data Management & Record Keeping

Tasks & responsibilities

  • Ensure that all the data is entered into the HR Database on a regular bases
  • Ensure control the HR Databases for each month, and ensure the updated database is sent to Capital for salary
  • Support HR Manager to ensure that every contracted staff working for ACF has appropriate documents (ID card, CV, signed contract, signed job description, contact information etc.) & are followed on regular bases to update the missing documents.
  • Maintain shadow files of all staff at field level and ensure that all original documents (As per Checklist) of staff personnel files sent to Capital Office.
  • To  ensure all files are constantly updated
  • Check the attendance sheet daily and mark the absent staff. 
  • Report chronic lateness of any staff to HR Manager.
  • Report Missing document from New Joiners to HR Manager.
  • Prepare the list of all ACF staff ID cards and make ensure to having them all.
  • To print out information from the database as needed (salary sheets, advance sheets, etc.)
  • Ensure all leave forms are maintained in staff personal files and leave tracker is updated on regular bases.
  • Ensure all casual labor record is maintained properly.
  • Share updated employee data with HR Assistant Payroll & Benefits for accurate administration of payroll.
  • Ensure timely submission of annual appraisals, individual operating plans and mid-year reviews of staff and shared with capital HR in timely manner.
  • Maintain copy of staff performance appraisal in shadow file at field level.
  • Ensure Updated Organogram is maintained for the Field
  • Support HR manager in preparation of HR Report on monthly bases.

Objective 3

Employee Relations

Tasks & responsibilities

  • Support HR manager in providing advice and counsel to field staff regarding personnel practices, policy and employment laws.
  • Support HR Manager in conducting investigations of employees for disciplinary matters.
  • Ensure record or each disciplinary hearing/investigation is properly maintained, ensure transparency and confidentiality of information/data.
  • Take meeting minutes during disciplinary/investigation if asked by HR Manager.
  • Maintain close working relationships with all staff at field level.
  • Support HR manager on developing Employees wellness program.

Objective 4

Assist Base HR to administration matters of office.

Tasks & responsibilities

  • Follow up on the required items at office.
  • Prepare schedule to cleaning of the office.
  • Ensure office is clean as per schedule
  • Prepare request for hygiene and food items for office and update stock to follow up.
  • To ensure Cleaner/Helper perform their job as necessary
  • Any other task assigned by HR Manager

SKILLS & EXPERIENCE:

  • Overall 3 years’ experience
  • At least 2 years’ Experience with INGO / NGO in related position
  • Maintaining confidentially, Honesty, reliability, punctuality
  • Strong verbal, written and communication skills
  • Good knowledge of English and using computer (MS office)
  • Conduct all duties in a professional manner following the Pakistan Mission HR Manual and ACF Charter
  • Flexible and adaptable with regards to the implementation of the daily work and effectively managing multiple assignments.
  • Good présentation skills.
