Job Description:

Administration:

  • Preparing all administrative letters.
  • Preparing all Administrative Documents such as internal notes, memo, lease contracts etc.
  • Follow & Prepare letters in order to solve all ACTED requirement with governmental /NGOs offices.
  • Preparing employment contract for National staff, in collect all information required for contract. (ID card, health, EOBI cards, photos,identification information, reference etc.)
  • Supervise the Admin Assistant performances and support them in routine works.
  • Make sure the Admin FLAT procedures are implemented and following regularly.

Human Resources:

  • Management of staff in area & sub offices;
  • Management of public holidays & keeping informed all sub offices/area office;
  • Control& checking attendance sheet of staff and arrangement of monthly report(Titanic) for salary distribution.
  • Prepare employment contracts for new staff and contract extension/amendment in case of renewal.
  • Collecting information of all National staff records and all necessary papers for personal folders (CV, Relative assertion form, Staff History, HR Manual acceptance form, contracts etc.
  • Conducting FLAT/organization orientation sessions for newly recruited staff
  • Followup of ACTED standard Admin. HR system and procedures.
  • Followup of staff Appraisal forms as per ACTED HR Manual.

Titanic Follow up:

  • Supervise the collecting of necessary papers (attendance sheet, leave forms, etc.)from the sub offices, preparing Titanic (Staff report) and send it to Islamabad main office on monthly basis.
  • Control the Staff cost in ACTED KPK office.
  • Check and control all staff grade, salary & position to be in accordance with ACTED Pakistan update Salary Grid.
  • Launch missions to ACTED KPK sub offices in order to make sure the implementation of ACTED system and procedure
  • Make sure the HRFLAT procedures are implemented and following regularly.
  • Send a copy of signed Titanic report to Islamabad, as soon as it approved by area Coordinator

Recruitment:

  • Preparing vacancy announcements for new recruitment's of National staff in ACTED KPK region
  • Will be responsible for Shortlisting and making interviews schedule with the help of coordination
  • Arrange interview with new applicants, check references and make contract for successive candidates.

Filing:

  • Setup the Filing system in ACTED area office on ACTED standard filling system
  • Make sure that all staff have personal folder with complete contains (contract,CV, Staff History, Job Application form, Leave forms, certificates, diploma and other required documents; the Filing and
  • Make sure that a copy of personal folder be sent to Islamabad main office
Send staff monthly personal folder documents (original copy) to Islamabad main office and keep a copy in area office;
