OBJECTIVES

The incumbent will be responsible for field monitoring and reporting, accountability, tracking deliverables, making analytical reports and conducting meetings with program/project teams for review and feedback according to Al-Khair Foundation (AKF) guidelines. He will be responsible for all the audit documents of M & E and keeping them in proper order in accordance with HAP, SPHERE and FOG standards.

GENERAL RESPONSIBILITIES:

  • To maintain constructive, purposeful, trust based and sincere relations with all colleagues working above or under whether directly or indirectly associated.
  • To adapt to the changing regulatory environment of NGO sector.
  • To continuously upgrade own knowledge, skills, attitude and application to become more valuable member of AKF.
  • To update management and other concerned with any development, internal or external, which can be of help to improve quality, provide better services and effectiveness and efficiency.
  • To participate in all meetings, committees, forums, projects and assignments as required and expected.
  • To continuously think for betterment of AKF, its progress and its ability to fulfill its mission.
  • To maintain highest standards of honesty and integrity in all disciplines.
  • Facilitate donor visits, briefings, internal reviews, program presentations etc
  • Liaise with assistance receiving communities and identify the gaps to improve efficiency.

MAJOR RESPONSIBILITIES:

Monitoring & Evaluation

  • Support Senior Management, Site Coordinators and District Coordinators in implementation of AKF M&E policy/ guidelines for projects.
  • Support to design, conduct and manage baseline assessments, data collection methods and schedules, special studies and surveys in accordance with objectives and expected results for management and lessons learnt.
  • Understanding a project’s scope and creating documents that best fulfill that particular project’s requirements.
  • Acquiring work plan from project manager and tracking projects in the light of work plan.
  • Responsible for developing & managing the Project Progress Matrices/tracking sheets (PPMs) and other data gathering tools based on key performance indicators of project and make sure that project offices provide data on timely basis.
  • To carry out regular field visits to project areas, prepare and disseminate monitoring visit reports to concerned stakeholders for effective and timely decision making.
  • Provide recommendations to the staff for effective implementation of activities to the program/project objectives.
  • Provide support to conduct formative and summative evaluation that can support in identification and prioritization of problems, as well as project design.
  • Monitor projects on an ongoing basis, evaluating progress and quality, managing issue resolution process and taking corrective action as necessary.

Reporting

  • Maintain effective and efficient flow of timely and quality reports submission from project offices to country office.
  • To review field reports to ensure and improve the quality and accuracy of the data reported.
  • To ensure that reports reflect organization strategies, policies, programming framework and project management tools.
  • Develop and prepare a detailed M&E report on monthly basis.
  • Work with project teams to report analyzed data and communicate results.
  • To coordinate quarterly data collection and analysis of findings and report to the program/project team leader and relevant Core management team. Formatting and displaying statistical tables and charts for reports specific to the project requirements.
  • Regular follow-up and report on the compliance status of monitoring visit recommendations for quality assurance and effectiveness.
  • With core office team, prepare, support and participate in conducting baseline surveys/end line, assessments/studies and Project Evaluation (both internal and external).

Accountability and Learning

  • To prepare & compile the consolidated report of ‘accountability to beneficiaries’ analysis liaising with Reporting Manager (as and when required).
  • To maintain an Accountability mechanism for timely registration and response to all complaints of stakeholders and to ensure compliance of standards/practices.
  • On the basis of complaints, provide regular reports to Senior Management on action taken and needs of improvement in project designs and strategies.
  • Responsible for training and supervision of survey teams required for evaluating program effects and impact.
  • Increase awareness of field staff on accountability mechanisms through formal and in-formal support.
  • Support project staff to develop and maintain “learning & sharing mechanisms” for further improvements in program/ project designs and strategy.
  • Any other relevant duty or responsibility assigned by Senior Management.

Personal Attributes:

  • Very good report writing skills
  • Language: Urdu and English is compulsory both reading and writing and ability to read and write well in local languages
  • Computer skills or potential to learn them, focus on word processing
  • Internet skills or potential to learn them; focus on research (and email)
