Accounts Management and Book Keeping
· Prepare Field Financial Report (reconciled)
· Prepare Field Office Projections in view of cash balance available
· Prepare field office bank reconciliation and report of Bank position on monthly basis to head office
· Keep a documented record of received cash from head office and or any other source
· Regular update of inventory list whenever there is addition or deletion
· Assets and Inventory coding, and quarterly physical verification and reporting discrepancies if any Assets and Inventory coding, and quarterly physical verification and reporting discrepancies if any
· Ensure compliance to internal controls at field office level
· Verification of bills according to the accounting standards and CHIP’s policies
· Internal controls at field office level including safety of petty cash
· Keep copies of signed agreements of vendors at all times.
· Manage leave record and attendance register.
Administration
· Arrange Travel /logistics of field staff
· Arrange installation, maintenance and billing of telephone lines
· Install and maintain internet system and fax system
· Ensure maintenance of IT-computer service
· Submission of all utility bills on a regular basis
· Maintenance and cleaning of office requirement and building
· Keep checking filling of vehicle /log books
· Ensure maintenance of generator or UPS if installed in the field office
· Arrange for the entertainment/refreshment of official visitors
· Manage Stock of Office Stationary As per Internal Control Rules.
· Inventory control and management (system of repair, maintenance and issuance)
· Ensure selection of qualified vendors at field office level
· Coordinate with head office for preparing and signing agreements with suppliers and vendors at field office level
· Adherence to internal administrative polices
· Responsiveness to requests of staff, clients and partners for purchasing and issuance of materials
· Ensure office security
· Ensure cost efficient purchasing at field office level according to policies and procedures
· Capacity building of programme staff in head office and field office in financial management.
· Timely preparation and sharing of meeting minutes at field office level
· Monthly field visits to offices of community organisations, Disabled Persons Organisation and Stakeholders on need basis
· Coordinate with field visit of auditors whenever required
Extend complete logistics support for organising field events.
