Job Summary:

Reporting directly to the CEO , the Executive Assistant provides secretarial support to CEO and Executive Director of Organization. The Executive Assistant serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the CEO & ED.

Key Responsibilities:

· Provide professional and confidential administrative and secretarial support to the Chief Executive Officer & Executive Director.

· Manage CEO’s calendar and schedules including the preparation of agenda’s / briefing documents etc required for meetings and appointments.

· Coordinate with heads of departments, managers and other staff members to ensure that the tasks assigned by the CEO are done timely and accurately.

· Correspond on behalf of the CEO as and when required. Prepare and/or edit internal and external correspondence including letters, faxes, emails and memos.

· Coordinate with travel desk to arrange business travel, conference / meeting bookings and accommodation for the CEO. whilst out of the office.

· Maintain files and records in an organized and efficient manner.

· Any other task assigned by supervisor(s).

Job Specifications:

  • Bachelor's degree required.
  • 3 to 5 years of experience relevant experience.

· Experience and interest in internal and external communications, partnership development, and fundraising.

· Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

· Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.

· Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat etc.

· Expert level written and verbal communication skills.

· Demonstrated proactive approaches to problem-solving with strong decision-making capability.

· igresourceful team-player, with the ability to also be extremely effective independently.

· Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

· Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
