| Job Description: |
|
This individual will play a pivotal role within the CEOs Secretariat in relation to managing the CEOs schedules & itineraries.
Main Responsibility:
- Handling all day to day correspondence and liaising with various stakeholders and third parties of the organization (such as Clients, Suppliers/Vendors, Consultants etc.) on behalf of the CEO to ensure operations run smoothly and efficiently.
- Synchronizing all in-house departments and coordination with international associated offices regarding various official matters, as assigned by the CEO on a daily basis, thereby maintaining follow-ups and generating reports consequently.
- Ensuring that timely and updated status reports are provided to CEO on routine basis and as and when required
- File maintenance & Database management, in addition to record-keeping of all relevant information.
- Attending occasional in-house as well as external meetings to record/draft and issue Minutes of Meeting with particular follow-ups on action items.
- Planning and scheduling meetings, conferences, teleconferences and travel.
- Drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Producing information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data etc.
- Running errands on behalf of the CEO such as organizing corporate events, arranging for corporate giveaways, making appointments, reservations and so on
- Receiving and disseminating incoming mails and faxes to CEO or concerned team/staff members and closely monitoring and managing documentation in accordance with company policies and procedures
- Coordinating travel arrangements for the CEO (inland and abroad i.e. travel and lodging reservations), whenever required to do so, along with providing updates & business critical information through various communication media even when the CEO is traveling
- Securing information by conducting backups, updating databases while exercising complete confidentiality in all corporate matters.
- Developing & maintaining filing and retrieval systems and re-organizing existing filing system.
- Conserving the CEO?s time & resources by meticulous analysis, comprehensive researching and troubleshooting/resolving issues when required to do so.
- Adding value to the CEOs Secretariat by contributing suggestions for the enhancement of existing systems and quality of service, through devising new functions and applications.
- Carrying out any other related tasks required by the CEO that arise from time to time.

| Skills Required: |

* Proven record of successfully delivering in a similar capacity, with at least one year of experience in the corporate sector, with a reputable organization.
* Qualifications in Business Administration or related field (from an HEC recognized Institute)
* Excellent communication and interpersonal skills
* Ability to manage and deal with tasks/assignments and pleasantly interacting with Clients & Third Parties
* Ability to work under minimal supervision in a reliable manner
* Responsive and prearranged to tasks assigned
* Dedicated to tasks assigned and ability to deliver on deadlines.
* Professional, presentable & well-groomed individual is preferred.
* Strong computing and spreadsheet skills
* Ability to adjust to a flexible, rapidly changing work environment.
