Job Description:
  • Performs a variety of administrative and executive support tasks that are highly confidential and sensitive.
  • Researches, compiles, assimilates and prepares documents and briefs for Country CEO
  • Coordinates with Head of Departments and Directors as per requirements.
  • Manages all purchase requisitions and expenses as per budget for Country CEO Office.
  • Screens incoming correspondence and reports; makes preliminary assessment of the importance of materials and organizes documents accordingly for Country CEO review.
  • Handles all matters in a professional manner and forwards appropriate materials to the relevant authority and staff.
  • Receives and screens incoming calls and visitors, determines which are priority matters, and intimates the Country CEO accordingly. Makes referrals to appropriate staff or provides requested information
  • Informs others of Country CEO’s position on issues
  • Composes letter, memorandums in response to inquiries on behalf of Country CEO
  • Acts as liaison between the Country CEO, Ex-Com and staff, by transmitting directives, instructions and assignments and following up on the status of assignments.
  • Updates Country CEO on the status of issues before scheduled meetings
  • Prepares agenda and collects materials for meetings, speeches and takes minutes and keeps record of proceedings
  • Reviews, proofreads, and edits documents and presentations prepared for Country CEO
  • Takes and transcribes dictation on technical and confidential matters from the Country CEO
  • Coordinates and facilitates the Country CEO’s calendar to arrange appointments, meetings and conference calls
  • Keeps records ready and well maintained.
  • Manages and coordinate all activities of the Executive Floor and ensures proper upkeep of the Executive Floor.
  • Manages all appointments, meeting schedules and minutes of meetings.
  • Conducts follow-ups and inquiries when required.
  • Maintains travel itinerary, ticket and hotel bookings.
  • Gathers information from different departments and prepares presentations, reports and plans.
  • Assists in regular day-to-day work.

 

Min Qualifications

  • Bachelors or Masters (preferred) degree holder from a reputed University.

Min Experience

  • Minimum of5 year experience in similar capacity in a multinational environment

Job-Specific Skills

  • MS Word, MSPower point, MS Excel is a must

Generic Skills

  • Excellent Communication Skills
  • Fluency in English is a must, Knowledge of French is preferable
