Executive Assistant Job Description:

  1. Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

  2. Maintains customer confidence and protects operations by keeping information confidential.

  3. Prepares reports by collecting and analyzing information.

  4. Manage Orders in the e-commerce systems, and update the status of the orders once they are shipped.

  5. Maintains product inventory by checking stock to determine inventory level; anticipating needed products; creating initial purchase orders for approval before submitting it to suppliers.

  6. Respond to customers emails, and manage general mailbox.

  7. Use online ticketing system and stay online on Live Chat.

  8. Update and manage inventory in the e-commerce systems, and add new items.

  9. Manage company social media accounts, (Facebook and Twitter)

  10. Create and send bi-weekly Newsletters.

  11. Add manual orders in the fulfilment center system.

  12. Manage Blog and update it weekly.

  13. Do internet research on specific assigned topics.

  14. Work on special projects as assigned.

  15. Other responsibilities and duties as assigned or needed.

Skills Qualifications:
  1. Experience working remotely with a foreign company is a plus.

  2. Ability to quickly learn new systems (e-commerce, CRM and data management system).

  3. Able to follow instructions, and self motivated, quick learning capabilities.

  4. Excellent English speaking, writing skills.

  5. Administrative Writing Skills, Reporting Skills, Supply Management, Scheduling, Microsoft Office Skills, Organization, Time Management, Presentation Skills, Travel Logistics, Verbal Communication,

Must Haves:

  1. Access to High speed internet and UPS backup system, and a very reliable computer.

  2. Computer literacy including use of laptops, Windows, and Microsoft Office (esp. Excel, Word)

  3. Able to work remotely

  4. Self motivated and goal oriented.

  5. Able to work in a dynamic environment.
