Major responsibilities of the selected candidate will be assisting CEO and COO in All Secretarial matters and also supervise all support departments. The candidate should be fluent in English, proficient in MS Office especially in emailing, writing, Social Media Marketing besides performing basic tasks should be able to prepare and edit correspondences, reports and presentations while managing the executive's schedule; and also have confidence to perform the administrative tasks assigned.

Additionally, the candidate should be: 

·Improve the operational systems, processes and policies in support of organizations mission specifically, support better management reporting, information flow and management, business process and organizational planning.

·Manage and increase the effectiveness and efficiency of Support Services (HR, IT), through improvements to each function as well as coordination and communication between support and business functions.

·Play a significant role in long-term planning, including an initiative geared toward operational excellence.

·Regular meetings with seniors for reporting and improvements in processes.

·Contribute to short and long-term organizational planning and strategy as a member of the management team.

·Provide administrative support to other departments as required and perform all administrative roles required for day to day activities.

·Arranging and managing the meetings at the office and coordinating with the invitees.

·Carry out special projects as allocated.

·Carry out research and analysis that may be needed for projects.

·Communicate with stakeholders, clients, visitors to achieve aims of projects.

·Monitor progress of projects allocated to staff. Prepare reports on progress and implement the required action.

·Monitor and enforce project tasks and activities.

·Prioritize and ensure that reports, business papers and correspondence are dealt with efficiently and promptly.

·Maintenance and filing, preparation, collation and distribution of supportive documentation, notes and correspondence.

·Screen telephone calls.

·Keep reminders and advice the executives of matters requiring personal attention, with associated deadlines, and preparing relevant documentation.

·Deal with matters requiring attention, or refer them to the appropriate person in the absence of the concerned executive.

·Self-starter and self-motivated.
