General Responsibilities:

 Major Responsibilities:

 Recruitment & Selection

  • Support Manager HR in recruitment & selection process.
  • Coordinate to conduct interviews at field, provincial and district level in order to ensure participation and transparency.
  • Ensure that organizational standard SOPs and especially HR Policies are followed during the process.
  • Manage staff orientation by ensuring that all new staff receives a formal orientation at the time of their joining.
  • Ensure that newly hired staffs are provided all the required support/facilitation from all concerned departments.

 

Compensation & Benefit Management

  • Ensure timely issuance of offer letter/contract/appointment letters/extension/amendment letters to staff.
  • Manage IPD/OPD medical claims and life insurance of staff; ensure OPD claims are processed timely.
  • Dealing with insurance company in order to handle all related issues and timely clearance of IPD & life insurance claims.
  • Provide adequate guidance to the staff for the submission of medical claims.
  • Support in managing staff monthly payroll of MAP and ensure that error free payroll is processed timely.

 

Training & Development

  • Support Manager HR for staff training & development plan implementation.
  • Process training requests and coordinate with Training institutes.

 

 Communication & Coordination

  • Coordinate with field offices for Staff Payroll, Medical claims, etc.
  • Organize orientation plan for field offices whenever needed.
  • Conduct frequent field visits to all field offices of MAP and ensure effective communication and coordination with filed focal staff.

 

File Management & Audit

  • Ensure proper file management system by coordinating with field offices on fortnightly basis.
  • Represent HR during internal/ external audits.
  • Regularly update HR personal/ project files and ensure all essential documents required for personal/ project file are with HR.
  • Ensure acknowledgement of HR policies & procedures.

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Muslim Aid is looking for a dynamic, creative result oriented person with thorough understanding of standard HR policies and procedures.
  • Knowledge of and commitment to participatory methodologies and Knowledge of current thinking on development issues and methods.
  • Excellent communications skills (verbal & written) to communicate effectively with representatives of donors’ public bodies, HQ and management of Muslim Aid.
  • Highly developed work organization skills, including prioritization and working to deadlines.
  • Good interpersonal skills with proven ability to convey complex ideas to a novice audience.
  • Ability of developing systems, procedures and departmental strategies.
  • Proven ability to provide peer-to-peer support and coordination.
  • Excellent research and analytical skills.
  • Very effective organizational & computer skills
  • Stress management & Time management skills
