Job Description:
  • All coordination for VPs incoming and outgoing mail.
  • All coordination for VPs on local and International level.
  • Maintaining VPs personal and official files.
  • Monthly reporting files.
  • Making monthly Progress Report which includes activities of Accounting, Budgeting& Treasury.
  • VPs travel arrangements and hotel bookings.
  • Provide assistance with his official and personal tasks while out of country.
  • Prepare daily schedule for VPs, attend phone calls and take messages.
  • Take dictation and draft letters/documents independently.
  • Check mails and do correspondence on his behalf.
  • Setup conference calls.
  • Organize business meetings and ensure availability of the required infrastructure like laptops, projectors, chairs etc.
  • Generate brief daily reports.
  • Coordinate on his behalf with different organizations and Companies.
  • Coordinate/followup on the requirements with the concerned Departmental/Units Heads.
  • Coordinate with the management of Ovex and Ovex International.
  • Make payments and bills and keep a record of all expenses.
  • Answer all queries that reporting officer may have at any time.
