| Job Description: |
|
- All coordination for VPs incoming and outgoing mail.
- All coordination for VPs on local and International level.
- Maintaining VPs personal and official files.
- Monthly reporting files.
- Making monthly Progress Report which includes activities of Accounting, Budgeting& Treasury.
- VPs travel arrangements and hotel bookings.
- Provide assistance with his official and personal tasks while out of country.
- Prepare daily schedule for VPs, attend phone calls and take messages.
- Take dictation and draft letters/documents independently.
- Check mails and do correspondence on his behalf.
- Setup conference calls.
- Organize business meetings and ensure availability of the required infrastructure like laptops, projectors, chairs etc.
- Generate brief daily reports.
- Coordinate on his behalf with different organizations and Companies.
- Coordinate/followup on the requirements with the concerned Departmental/Units Heads.
- Coordinate with the management of Ovex and Ovex International.
- Make payments and bills and keep a record of all expenses.
- Answer all queries that reporting officer may have at any time.
