Job Description:
Job Purpose:
  • The Grants Coordinator will provide quick support to Grants Manager/department in order to carry out department’s function smoothly.
  • Oversee the proper implementation of strategy with guidance from Grants Manager and provide assistance in writing grants proposals, monitoring of grants funds, quality of projects, and implementation of RM strategy.
What does the jobholder plan?
  • Successful coordination of grants projects and provision of support to all concerned with respect to grants-related matters.
  • Ensuring stable and secure funding by representing CSP objectives effectively.
  • Regular coordination with respect to grants-funded projects.

What are the outputs and deliverables?

  • Increase the grants portfolio through regular contacts with existing and potential donors and assistance in writing grant proposals. Part of the effort will be to arrange periodic resource mobilization workshops with cooperation from relevant staff;
  • Effective and regular coordination/communication with IH, RO, NOs, PUs and Plan Pakistan partners on matters concerning grants. This should also support in monitoring of grant funds and quality of projects vis a vis the agreements[GADs] signed with NOs;
  • Implementation of new resource mobilization strategy/plan [CSP-III] as decided and approved.
  • Respecting deadlines in letter and spirit and making efforts to ensure others do the same in grants-related matters.
What does the post holder oversee?
  • Prepare and submit grants proposals on time.
  • Coordinate with IH, RO, NOs on matter concerning grants for improvement in consultation with grants manager..
  • Ensuring all (100%) grant reports are submitted as per agreed schedules and taking steps to ensure timely progress input from PUs; (unless there are genuine reasons for not doing so).
  • Ensuring the quality of proposals received for onward submission (on time) to donors/NOs (through editing, technical formatting and/or revision);
  • Ensuring relevant support to PUs and CO is provided in grants-related matters.
  • Staying up-to-date on grants-related matters to ensure provision of quality and timely support to all concerned;
  • Visiting PUs/project areas as and when necessary in agreement with the grants manager.
  • Implementing any other task assigned by grants manager;
Criteria for Success
  • Quality report writing/editing as per the agreed format provided by the donor (if available)
  • Assistance in proposal writing and keeping track of proposals (tracking sheet)
  • Updating grants reporting schedule on at least a monthly basis.
  • Effective coordination and communication to resolve matters concerning grants
  • Timely submission of grants reports and its implementation.
  • Meeting deadlines.
  • Consistency of good performance and commitment
What are the primary linkages for this post?
  • IH, RO, Country Office and Programme Units
  • Children, their Families and Communities.
  • Plan Pakistan Partners (if required).
  • Any other as assigned by the grants manager.
Competencies
  • Excellent and demonstrable communication skills (written and oral) in English; Understanding of Urdu is important.
  • A familiarity with the Plan’s operating environment is helpful as well as the willingness to assimilate Plan principles.
  • Demonstrated proficiency in computer skills and relevant software packages.
  • Efficient in meeting commitments and deadlines in achieving results.
  • Ability to plan and organize work by identifying priority activities and adjusting priorities as required.
  • Ability to work independently and as part of diverse teams.

Qualifications and Experience
  • A Master’s degree in social sciences from a reputable and recognized university.
  • At least 2 years of experience (by January 2011) in the development sector in terms of coordination work, proposal/concept (note) writing, report writing, with a reputable national or international development organization.
  • Experience of grants management/coordination and international liaison will be an added advantage;
