Job Description

  • Prepare GRN for items purchased and enter them assets register.
  • Ensure that copy of PO, DC/Invoice, Warranty (if any) and GRN is field.
  • Ensure that all files are tagged and updated.
  • Update the status in assets register case of any changes such as transfer, theft case, donated and auction.
  • Reconcile assets as well as GPE with finance GL on a monthly basis.
  • Issue assets/GPE to staff upon requests duly signed by the supervisor/sector head.
  • Keep follow-up of assets/GPE those have been sent to Islamabad or local market for repair purposes.
  • Orientate users on assets policy.
  • Assist in conducting physical verification exercises per the schedule.
  • Ensure that monthly assets report is shared with the Islamabad office having highlighted rows for inductions and excluded items.
  • Organize domestic travel and manage accommodation matter for guests/visitors.
  • Coordinate with the fleet department for pickup and drop of guests.
  • Ensure that utility bills are received, verified and remitted timely.
  • Supervise kitchen staff in refreshment or daily foods and keep record of consumptions.
  • Ensure that generator log book is maintained monthly fuel consumption report is generated.
  • Ensure that all utilities that include telephone, DSL, gas and water facilities are available and functional.
  • Review of OT staff over time.
  • Keep close coordination with local authorities and make a data base for all hospitals, police stations, WAPDA / PTCL / Gas complaint offices, fire-brigade and civil defence as well.

Requirements

  • A graduate degree in logistics, business, or related field and 1-2 years of Assets and administration management experience
  • Excellent interpersonal, communication and presentation skills.
  • Fluency in written and spoken English.
  • Excellent skills on computer operation, especially on Microsoft Excel
