Job Description:
· Collect updated data from warehouse i.e. commodity receiving and dispatching information from
Documentation Assistants on daily/weekly basis;
· Collect daily food distribution data for each Village Tract/Township from the relevant Documentation
Assistants, compile them by each sub-office/region and submit to the Food Security Advisor for his/her
review;
· Create a database for all the beneficiaries by each Township;
· Keep updated all the key personnel on day-to-day distribution plan activities;
· Update daily distribution board with information on food stock and Village Tract distribution activities;
· Compile weekly/monthly distribution reports received from the Documentation Assistants and summarize
them for submission to donors and SC management.
· Review/check all SC/WFP incoming/outgoing waybills, outlet distribution reports, muster rolls, loss reports in
order to ensure that the weekly/monthly distributions reports submitted by the Documentation Assistants are
correct and matched with all the related papers/documents;
· Assist and direct the Documentation Assistants in filing necessary documents like 1) beneficiary lists, 2)
distribution plans, 3) SC/WFP incoming and outgoing waybills, 4) outlet distribution reports, 5) muster rolls, 6)
loss reports etc, in separate files;
· Prepare WFP invoices and submit the same to the Food Security Advisor on the 10th of each month for
verification and submission to WFP in a timely manner;
 
Skills Required:
 
Bachelors Degree

Demonstrated 1 to 2 years of overall experience; and a minimum 1 year of specific development sector
experience

Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform

Excellent skills on computer operations, especially MS Word and Excel

Community mobilization skills

Problem solving ability

Fluency in written and spoken English
