Key Responsibilities:

  • Coordinate in developing and appropriate dispatching of Partner contracts, follow up on extension letters, probation evaluation and other official letters.
  • Manage travel and accommodation arrangements for staff as per requirements and admin procedures.
  • Provide logistical support in recruitment processes; organizing test, interviews, trainings and official events.
  • Administratively assist HR & Admin Coordinator in arranging TNAs and design appropriate content and material to meet varying needs to meet PDPs (Personnel development plans).
  • Support in Interpretation and implementation of administration policies and practices in organization.
  • Coordinate with WAP staff and vendors for procurement processes and act as focal person for external correspondence in this regard.
  • Make sure that documentation and other legalities related to the rented premises are completed and their renewals/notices are processed timely.
  • Coordinate with Insurance Company for staff health and life insurance correspondence regarding reimbursements of claims, queries, and staff addition deletion updates.
  • Supervise office fixed assets repair and maintenance, also keeping close eye on office premises for any repair/development required.
  • Maintenance of hard files and electronic record keeping of personnel files.
  • Determine office spaces and inventory required for staff needs.
  • Supervise kitchen operationsand mess budget and ensure it is running on no profit no loss basis.
  • Coordinate with suppliers/service providers and partners for their invoices and maintenance of complete record of all evidences.
  • Process payments and follow up with finance for settlement of invoices. Also check compliance and supporting documents of request for payments.
  • Supervise the log book maintenance for generator installed and generate monthly fuel consumption reports to analyse the efficiency of this generator.
  • Administer the admin petty cash system and ensure appropriate record keeping.
  • Generate admin monthly report of operational activities conducted throughout the month.
Qualification, Skills and Knowledge:
  • Recognized Master’s degree holder in Management Sciences.
  • Minimum 3-4 years of experience with INGO’s/ development sector in similar role.
  • Must be Computer proficient, well understanding with computer software especially MS Office (Word, Excel, Outlook) to manage electronic data record.
  • Good communication skills in English and Urdu.
  • Creative and have proactive personality.
  • Ability to work effectively under pressure and proven track of introducing efficiency in delivery of work.
  • Ability to work in a cross cultural environment with multinational staff.
  • Strong interpersonal skill.
  • Ability to work in and contribute to team building environment.
