• Efficiently operate telephone exchange, coordinate with the service contractors in case of any mechanical fault to telephone exchange or fax machine. Contact relevant authorities in case of any problem with the telephone lines;
  • Maintain proper record of incoming and outgoing faxes. Ensure ordinary faxes are placed in mailboxes of relevant staff and urgent faxes are passed on the tables of relevant staff;
  • Maintain proper record of long distance calls and prepare monthly telephone usage summary for cross charging of phone bills and note the personal calls of the staff separately as per procedures.;
  • Regularly update and maintain telephone directory.
  • Monitor the outgoing mail and keep office wise dispatch record for monthly cross charging of courier expenses;
  • Keep and maintain visitor’s register at the Office reception;
  • Ensure that every visitor must use the visitors’ card before visiting any staff in Program Office;
  • Make sure that no office staff should stay at the reception area without any appropriate reason;
  • Monitor and ensure attendance registers both for the regular staff and interns;
  • Attend office on weekends and holidays as and when required by respective supervisor;
  • Obtaining staff approved W-4s for hotel bills and payments
  • To perform any other task assigned by Supervisor

 

Skills

Education, Experience & Working Knowledge
ð At least 1 year of appropriate experience in a similar capacity is desirable.
ð Minimum education is 2 years Bachelor in Management Sciences or any other relevant discipline
