Purpose of the role:
This position will be responsible for SKALA (potentially based in HYD) base administration and logistic functions, including fleet management, contract handling and inventory
Job Profile:
Individual accountabilities:
1. Follow procurement and supply plans as per defined procedures.
2. Ensure that all procurement is done in accordance with good business practices (ethics) and the value for money principles.
3. Follow up with vendors/ suppliers for submission of the monthly payments invoice and review of documents.
4. Submission of the monthly payments to finance under framework contracts/ LP and direct purchases.
5. Ensure the timely delivery of material purchased (monitor the lead time for each delivery)
6. Liaise with Sr. Program Manager and Log-Co in preparation of purchase requests, assessment tables and submission of purchase dossiers.
7. Conduct regular fleet inspection and reporting.
8. Work with vendors/suppliers to ensure availability of fleet vehicles and fuelling as per field work plan of the program.
9. Preparation and timely submission of the monthly fuel consumption reports of the vehicles.
10. Responsible for designated office space to project in good condition and for smooth running of the office and stay in guest house.
11. Follow Action Against Hunger’s physical inventory management requirements (organisation, cleaning, ventilation, protection from external elements, etc).
12. Responsible for tagging of the inventory list and to keep the updated list of all the inventory in the office, warehouse and guesthouse.
13. Be accountable at all times for all items in the office and compound that are under his/her responsibility.
14. Manage office desk (mails, phone calls, stationery) and compound, including parking lot.
15. Induct, train and supervise runners, drivers, security guards and contractua maintenance workers
