Purpose of the Post:

The main purpose of the position is to lead the assigned Organizational programme. The job incumbent will report to the HoP for his / her role and responsibilities.

Responsibilities of Programme Manager

·         Maintain and store all records in line with MA document management and IT policies.

·         Comply with all policies, procedures, legal and regulatory requirements.

·         Demonstrate strict adherence to our values of compassion, empowerment, justice for all and accountability when performing his / her work.

·         Any other duties commensurate with the accountabilities of the post.

Strategic Development & Leadership

·         Planning and designing the programme and proactively monitoring its progress, resolving issues and initiating appropriate corrective action defining the programme's governance arrangements

·         To contribute for enhancing the capacity of MAP project team in order to achieve the goals that is set in Muslim Aid Country Strategy.

Programme Management & Coordination

·         Closely monitor the performance and progress of the project team and to ensure that all corrective measures are taken well in time in order to achieve set objectives

·         Ensuring effective quality assurance and the overall integrity of the programme - focusing inwardly on the internal consistency of the programme, and outwardly on its coherence with interfaces with other programmes, technical standards

·         Ensuring there is allocation of common resources and skills within the programme's individual projects

·         Managing the programme's budget, monitoring expenditure and costs against delivered and realized benefits as the programme progresses

·         Ensure that grant making takes place within agreed procedures, including project funding agreements.

·         To maintain a responsive capacity for emergency situations.

·         To ensure best practice in the project including the adherence to nationally and internationally agreed standards

Line Management of Emergency Project Staff

·         Line manage the project team with regular updates

·         To manage and monitor the interdepartmental affairs, workflow of assignments and flow of information at right time to the right person

·         To provide feedback to the colleagues and subordinates that can potentially improve their effectiveness and contribution

·         Implement a systematic and consistent approach to managing the performance of staff to ensure quality and effectiveness of overall performance

Contributing to the Departmental and Organizations Policy Making & Profiling

·         Assist in shaping, monitoring, communicating and overseeing the implementation of the departmental and corporate goals.

·         Develop policies and procedures for smooth operation of projects and the department as and when required

·         Contribute to the strategic planning process of the division and the country programme

·         To promote and support the programme department’s commitment to inter-agency coordination by networking with UN clusters, INGOs, NGOs, government and other networks and stakeholders, keeping in view the objectives of programme expansion in the humanitarian stream

Other

·         To play an active part in cross organisational working / thematic groups

·         To comply with any policies and procedures that may be issued by Muslim Aid

·         The post will require frequent travel

·         To be responsible for the administration related to the above tasks directly or by supervising others

·         To provide cover for the Supervisor as and when required

Essential/Desirable

Qualification(s)

Master Degree in Social Sciences or equivalent

Experience

a)    Minimum 05 to 07 years of relevant Experience on same nature of role/job in Development Sector, donor funding management

b)    Field experience of at least 03 years.

c)    Experience/understanding of humanitarian, development and campaigning work

Knowledge

a)    Have knowledge and experience of working in integrated programmes with field experience

b)    Experience in training and building the capacity of others.

c)    Ability to live and work well with others in a team situation.

d)    Strong administrative skills and ability to effectively use technology and follow departmental procedures.

Skills and Abilities

a)    Ability to produce clear and timely written communications in the form of proposals and reports.

b)    Research and analytical skills, numeracy, budgetary and financial reporting skills.

c)    Ability to take initiative and effectively manage own time.

d)    Ability to meet emergency situations

e)    Dynamic, creative & result oriented person with ability to manage multiple tasks efficiently & effectively.

f)     Ability to manage a multi task work load and be flexible to altering priorities to respond to changing demands.

g)    Ability to provide support & training to staff.

h)    Ability to meet the deadlines.

i)      Effective time management

j)      Excellent written and verbal communication skills

k)    IT skills: knowledge and experience of MS Office packages (Word, Excel and PowerPoint) essential.
