About the role:

As AM Finance, you will report to the Deputy Manager Finance and will be responsible for providing support in managing all financial transactions including bookkeeping, monitoring of spending, supporting in financial reporting for all projects. Also providing support in financial management of contracts, procurement; financial audits; and ensure compliance with local legislation on all financial, tax and other related requirements.

What you’ll do:

1.       Financial Management:

·         Calculating budget variances and highlighting deviations.

·         Preparations of timely and accurate periodic reports for the management review.

·         Analyze the financial impact and trend of variances MoM or YoY and keep supervisor abreast of changes.

·         Process all staff and vendor payments as per policies and procedures.

·         Support in development of monthly financial certification package including all supporting schedules and the trial balance.

·         Support to ensure timely submission of all statutory reports including tax returns.

·         Keep track of bills/memos received from vendors/departments to facilitate the payments.

·         Prepare and maintain proper documentary evidence, for monthly financial certification package, all journal entries, supporting schedules, trial balances and filing system for all payments, travel, sub-recipient, employee advances, pre-payments to vendors.

·         Support in preparing and submitting all statutory reports and dues on time.

·         Verification of petty cash bills.

·         Prepare ad hoc reports as needed.

2.       Cash Flow Management:

·         Support for maintaining cash payments forecasts for the entire month and monitoring the estimates against actual expenditures incurred.

·         Prepare payments and Bank reconciliation/Cash reconciliation on weekly basis.

·         Collate expense reports and identify forecasted expenses for Advance Requests.

3.       Statutory Compliance:

·         Ensure that all the checklists provided are complied with and the compliance of the policy, process and procedures manuals are ensured.

·         Ensure that any deviation from the standards are immediately reported.

·         Support management when implementing new processes and systems.

·         Promote and demonstrate an ethical environment, in line with PSI’s values of honesty and acting with integrity and enforce the application of appropriate procedures and internal controls.

4.       Audit:

·         Extend necessary support activities in both external and internal audit.

·         Take part in the due diligence requirements and follow ups on the tasks assigned.

·         Undertaking physical inventory checks on quarterly basis.

·         Participate in the preparation of responses to audit requests and funder specific reporting requirements.

·         Support the Deputy Manager Finance wherever required for the project activities.

·         Any other work- related task assigned by the supervisor

Qualifications, Required Skills and Experience (This includes previous experience and soft skills)

·         Minimum Bachelor’s degree and/or Master’s degree in Finance or any related field will be a plus.

·         Ideally 2-5 years of experience in Accounting/Finance and local tax laws for payments preferable in an INGO setup.

·         Working knowledge of integrated, accrual basis of accounting system such as Quick books Enterprise, Lawson, or another ERP.

·         Advanced Excel user performing functions such as VLOOKUP, SUMIF, TRIM, MID formulas; “&” operator; pivot tables and pivot charts
