Job Description:

  • Project Support Specialist will be responsible for various business support tasks for ATSG’s, rediTech and Project Management groups. 
  • The position requires exceptional attention to detail and the ability to work across multiple groups to ensure the integrity of project resourcing and financial data and the accuracy of project reporting and dashboards. 
  • Additionally, a key function of the role will be to analyze project resource forecasts and help identify gaps to optimize utilization across the team. 
  • As part of this function, the Project Support Specialist will perform audits of timesheets and project billing milestones to ensure employees are adhering to appropriate project delivery processes and completing back-office tasks on time.
  •  The group utilizes ServiceNow PPM to track projects and record time and the Project Support Specialist will be utilizing the system extensively to perform his/her job.

Responsibilities:

  • PMO Business Operations Support - Focal point for all business analytics required for the Project Management and rediTech Engineering team which includes liaising with the finance and purchasing teams to align data.   
  • Resource Management –  Conducts daily reviews of resource assignment  requests and changes  and works with the engineering directors and PMO leads to ensure optimal project execution and resource utilization
  • Skill Set Management – Work with engineering and PMO to help define skills sets required for current and forecasted project needs. 
  • Resource Forecasting – working with engineers and PMs to ensure project resource forecasting includes  considerations for resource capacity, scheduled time off, and business travel that could interfere with project schedules and execution
  • Resource Process Owner– Responsible for maintaining resourcing processes  and making recommendations for improvements to the process and tools to drive alignment and automation for better accuracy and efficiency
  • Resource Reporting – Providing regular updates on resource allocation and utilization to project managers, clients, and ATSG leadership
  • Risk Identification – Responsible for identifying potential risks in the form of over-resourced staff, under-utilized staff, or projects which have resource risks and bringing them to the attention of ATSG leadership
  • Contractor Management – Work with and maintain a list of external contractor resources and subcontracting companies that can be utilized as a resource flex bench when internal resources are overutilized.

Project Business Operations:

  • Daily Identify review and identify any unassigned projects and work with PMO and engineering to get resources assigned and projects activated
  • Work with finance to ensure projects are closed in all related systems once project execution and final billing have been completed
  • Assist project leads by providing data to support their internal and external customer interactions and rectify any data anomalies
  • Review Projects monthly to determine if milestone and monthly hourly billings are being completed on time and accurately. 
  • Audit project budgets and hours to help identify any project that may exceed allocated budgets
  • Work with PMO and engineering to create and develop resource utilization optimization strategies
  • Assist with Project Change Order processes
  • Assisting with project weekly and month-end activities to ensure timely and accurate time entry

Daily Tasks/Weekly Tasks/Monthly Tasks

  • Run/Distribute report for unassigned PMs in SNOW
  • Run / Distribute report for Resource Project Hours Report in SNOW
  • Create process/workflow documentation for key functions or tasks related to PMO or SNOW processes.
  • Assign PMs to projects in the Dynamics and in SNOW as directed by the PMO Leads
  • Run / Distribute report for verification of the Resource Utilization Forecast Report in SNOW
  • Follow up with PMs end of the month to update the Fixed Price Sub Percent Complete
  • Run / Distribute  report for pending timecards in SNOW (send reminders as required)
  • Update process/workflow documentation based on the latest changes
  • Follow up with PMs / Resources to ensure timely submission of timecards by end of the month
  • Run report for submitted timesheets in SNOW (send reminders as required)
  • Coordination for adding new employees in Dynamics and in SNOW
  • Run the report for Project missing info and add missing info in SNOW
  • Generate / Submit Invoices for Processing for T&M Projects when requested by the PM
  • Assign and manage  tickets to CrossFuze (SNOW PPM Developer) for issues with SNOW
  • Processing Change Orders for projects or invoices
  • Run the report in SNOW to verify project information to identify issues or missing information and work with the PMs to address the issues.
  • Supporting PMs with any questions or issues in SNOW (timesheets, timecards, set up projects, ext.)
  • Run / Distribute report for missing timesheets
  • Allocating Resources hours for aal PMs in SNOW
  • Create or Modify reports in SNOW based on needs from PMs or Execs (with different criteria)
  • Meeting with PMs, Finance, and Accounting based on needs
  • Assisting with the resolution of issues in SNOW (based on needs

Qualifications:

  • Must have experience with resource and time card management and knowledge of financial requirements used to manage professional services activities
  • Must have experience using a project management system preferably ServiceNow PPM
  • At least 5 years supporting a Project Management and/or technical operations team
  • At least 5 years of working with an Accounting team
  • Strong Communication skills (both verbal and written)
  • Highly detailed-oriented and thorough
  • Knowledge of Project Management methodologies is useful
  • Experience working in an IT Service Industry or Professional Services Industry would be ideal.
  • Experience with Process/Workflow Documentation

Location: Remote

Schedule: Must be available to work Mon-Friday 5:00 PM to 2:00 AM PKT.
