JOB SUMMARY

General Manager Operations will be over all responsibility for the smooth running of operations, in Islamabad and all Regions. He will maintain close liaison with all other departments, which are there to ensure and assist smooth operations. Maintain a close liaison with Police, Army and Civil law enforcing agencies. It is important to make contact and ensure compliance.

DESCRIPTION OF DUTIES/RESPONSIBILITIES

REGULAR DUTIES/RESPONSIBILITIES

Main Functions:

·         Be the understudy to CEO and assist him in all functions of the Company.

·         Head the Company in the absence of CEO.

·         Provide resources to Manager Business Development for all meet and greet tasks/Mobile protection teams.

·         Ensure adequate manning level, with reliever and emergency reliever.

·         Ensure smooth operations all Across Pakistan

·         Ensure relevant Government Approvals and NOC are in place.

·         Assist Manager Business Development in maintaining record and updating Crisis Room.

Monthly Reports And Returns

Routine Functions:

·         Monitor the activities of all Operations /Regions of the company.

·         Working in close coordination with Manager Business development with all department & Customer feedback.

·         Ensuring the implementation & monitoring of company plans, operations & policies.

·         Ensure all SOP are revised twice an year (1 September and 1 March each year)

·         Overall ensuring the company’s compliance on international standards.

·         Conducting the management review meetings.

·         Ensuring the implementation of the decision taken in the review meeting.

·         Reviewing company objectives and brief CEO accordingly.

·         Ensuring that in-house corrective / preventive actions are taken.

·         Planning & conducting the internal quality audit.

·         Conducting the follow-up audit.

·         Check the annual training plan prepared by the Training manager

·         Evaluation of new projects.

·         Ensure all entries to diplomatic enclave and zones are arranged and coordinated

·         Ensure Training /Firing Practices are conducted as per the Annual Plan

·         Keep clients informed of all permanent changes.

·         Responsible for Maintenance and upkeep of vehicles under his use. Shift vehicles etc.

Monthly Reports And Returns:

  • Ensure person checks to all clients’ location once a week on irregular timings.
  • Dispatch Duty Roaster by Email to all Clients by the 25th of each month.
  •  (Decentralize to Regional offices of Lahore / Karachi and Peshawar, after 1 st month)
  • Ensure all entries to diplomatic enclave and zones are arranged and coordinated
  • Ensure reports of all warnings to clients are submitted on 25th of each month, to the manager of Business development. Summary to be discussed in the meeting and summary to be sent to IOM with invoice.
  • Ensure Daily supervision checks are being conducted as per the quality standards and are maintained and updated in the system.
  • All daily supervision reports are submitted to the clients by the 10th of each month
  • (Ensure all Regional offices forward the same by the 7th of each month)
  • All entries and Police/IB compliance reports are sent as on the first of each month.
  • Monthly Review Meeting
  • Conducted on the first Tuesday of last week of the month
  • The scope of the meeting is to stream line all procedure, process, requirements and updates of task from each department and Regional offices to be directed to HO.
  • All follow ups to be tracked and maintained.

Deployment:

  • Ensuring manpower/strength is complete at all locations including other cities according to an agreement with clients.
  • Ensuring a number of guards, wpn, eqpt, licenses, auth Ltrs, ammo, turnout.
  • Deployment of new guards when asked by clients and keep the clients updated.
  • Ensuring new deployment is as per the req of clients in Islamabad and in other cities.
  • Monitoring existing deployment for 24 hours via telephone, personal visits, reports by supervisors, by sending duty officers/supervisors, by asking team leaders.
  • Ensuring shifts are on time and being replaced as per the contract’s timings.
  • To sudden replace a guard in case of emergency leave or sickness.
  • Visiting clients and rectifying problems/complaints by clients after discussing/seeking approval from C.E.O.
  • Issuance of weapons, ammo, equipment, licenses, and authority letters to guards for new deployment in any city.

Deployment at Corporate office/Guard’s residence:

  • To ensure guards at H.E office for safe custody of weapons inside kote and to guards other Haris assets.
  • To keep guards at guard’s residence to ensure safety.

Discipline:

  • Responsible for discipline and turn out of guards, CPOs, supervisors, drivers.
  • Taking appropriate disciplinary action if req.
  • Bringing into notice/to seek approval from C.E.O.

Daily Attendance and leave record:

Keeping the attendance record of all guards on daily basis according to shifts, including those deployed at out stations. Ensuring and monitoring and keeping record of guards leave according to company’s policy. Reporting any deductions to be made due to unpaid leave availed by guards to finance department

Weapons:

  • Ensuring weapons are complete and in good working condition.
  • Maintenance and repair of weapons.
  • Cleanliness on a monthly or on a required basis and after practice fire.
  • Preparing and issuance of weapon’s authority letters to guards.
  • Ensuring safe custody of all weapons at locations and in office kote.
  • Put up weapon details on the 15th of each month to CEO.
  • Ensure licenses are renewed. Maintain a list of renewal of licenses and hand over the list to concerned regional managers and accounts
  • Keeping updated record of weapons and cleanliness on monthly/required basis.

Ammunitions:

  • Arranging/purchasing ammunitions according to requirement.     
  • Ensuring complete ammunition at all locations.
  • Safe custody of ammunition by guards.
  • Keeping an updated record of ammunition issued.
  • Rotate ammo . New ammo to be placed at client’s location and old ammo to be used for firing as a standard practice every month. MBD will
  • ensure compliance and report every 12 day of the month

Equipment:

  • Keeping record of all equipment issued at locations and in-store ie; trauma kits,  body armors, radio sets, spare magazines, rifle slings, raincoats,   umbrellas, ammunition pouches.
  • Ensuring that required equipment is complete at all location including outstations.
  • Purchasing new equipment if req.
  • Ensure that the MIS is up to date. MBD will check from the MIS and tally the report with manager operations

Licenses:

  • Safe custody/record of arm licenses.
  • Renewal of licenses when req.
  • Endorsement/removal of weapons.
  • Quantity demands for new license to C.E.O/Manager Business Development.

ISO Standards:

  • Ensuring the competency needs of all personnel affecting the QMS & product quality.
  • Organizing the in-house training sessions.
  • Developing the QMS related forms & reports.
  • Dealing with the QMS consultant and certification body.
