Your Contribution:

This position is functionally responsible for supervising all Procurements, travel (Domestic & International), accommodation, and event management matters, and serves as oversight for Office operational matters such as administration ensuring compliance with policies and procedures already in place.

Procurement:

  • Ensure all office procurements are completed in a timely manner adhering to company policies & SOPs.
  • Ensure Complete vendor management and building relationships with clients/vendors.
  • Manage and maintain procurement tracking sheets, agreements, and all related files.
  • Ensure timely submission of documentation to the finance department for payment processing.
  • Participate in monthly closing activities and ensure effective use of the MIS system.

Administration:

  • Oversee all administrative functions and ensure smooth operations at the Head Office.
  • Ordering and restocking office and kitchen supplies.
  • Implement robust administrative & asset management systems in compliance with company policy.
  • Review annual inventory audit of the asset management systems.
  • Handle petty cash expenses.
  • Act as focal person for the maintenance and repairs of assets/infrastructure/office and liaise with appropriate staff to arrange quality repairs of reported malfunctions in a timely manner.
  • Supervise IT and operations officers where necessary

Travel Management

  • Manage all travel arrangements in line with company policies & SOPs.
  • Ensure vendor onboarding for travel services where necessary.
  • Maintain trustworthy relationships.
  • Book tickets and reconcile expenses.
  • Implement fleet management systems (third party or in-house), and ensure proper documentation, and service protocols are observed at all times.
  • Any other work-related duties assigned by the supervisor.

  • MS Office Enterprise, Legal formalities, and good local market knowledge.
  • Ability to multitask, and achieve deadlines for assigned tasks.
  • Ability to work effectively with an interdisciplinary and international team under pressure.
  • Demonstrate initiative and willingness to learn and skills in knowledge transfer.
  • Effective negotiation skills.
  • Demonstrated ability to work independently, Excellent written and verbal communication

Preferred Qualifications:

  • A minimum Bachelor’s degree is required. A Master’s in Business Administration or supply chain will be preferred.
  • At least 2-5years’ of relevant experience in related fields.
  • Good knowledge of the INGO Operations/development sector will be a plus.
