IRC works in partnership with local government and non-governmental organizations and currently works in Balochistan, Khyber Pakhtunkhwa, Punjab and Sindh provinces.

Job Overview/Summary:

Under the supervision of Post Award Coordinator, Post Award Officer’s primary responsibility will be to coordinate reporting, support and assist the day-to-day management of tasks and program support

Major Responsibilities:

  • Project Reporting and grants management • Review and edit project progress reports, sector heads and share feedback •
  • Ensure that donor templates and requirements are adhered • Prepare sector updates for factsheets, Country Program Updates, Management Reports, newsletters or other internal or external publications •
  • Develop reporting workplan and roles and responsibility matrix for reports •
  • Development and updating the project plans and reports for Ministry of Interior and Government Department • Assist head of Office in day-to-day tasks •
  • Serve as a focal person for compliance related questions, received from teams, seek advise from Post Award Coordinator and respond Information Management •
  • Assist in collecting, compiling, organizing and storing the flow of information and files produced within the projects •
  • Maintain the information at office level that can be helpful for project, reporting and any new initiatives • Update program information and provide relevant project documentation, for monthly/quarterly reports, monitoring tools, fact sheets etc. 
  • Maintain and disseminate reporting schedules and calendars among the program/ project team.
  • Maintain projects information including reports, database, pictures, videos, meeting minutes and presentations on central archives •
  • Monitor and review regular sources of information and data required for preparation of reports, e.g., information from field teams, other IRC offices, news clippings, surveys. •
  • Gather and analyze information about donor policies, trends, and preferences.
  • Compile field level information required for operational reports to donors.

Coordination 

  • Provide administrative and organizational support to supervisor and the Awards Management team 
  • Coordinate follow-ups with the project teams on compliance related matters and reports 
  • Manage Project Cycle meetings i.e., project planning, opening and closing meetings by sending invites, coordinate with participants and the departments, minute taking and circulation 
  • Manage follow-ups on action trackers, support in conducting follow-up meetings/ check ins 
  • Develop and update Project Cycle Meeting tracker •
  • Participate in professional training and development activities as necessary •
  • Conduct field visit to participate in program meetings, orientation and review of program and partner’s compliance, as and when required Awards Management System •
  • Managing Opportunity Tracking and Information Management System (OTIS) for T1 and reporting •
  • Provide day to day support to project teams and T5 Monitors in BVA management Position

Requirements: Education:

Postgraduate in management, communication field or social sciences. Work Experience: A minimum of 3 years of experience in I/NGO related to reporting and communication, coordination and information management; and advanced training/courses in English, social sciences, international relations, communications, or other related fields Demonstrated

Skills and Competencies: 

  • Advanced knowledge of software (Microsoft Windows, MS Excel, MS Word, MS PowerPoint), 
  • Ability to make power point and other types of presentations. 
  • Ability to meet deadlines and remain cool under pressure 
  • Experience in report/grant writing. 
  • Excellent communication and analytical skills 
  • Team worker with flexibility.

Language Skills: Strong English language skills both written and oral; knowledge of local languages including Sindhi
