Hostel Manager Job Description:

As Hostel Manager you will be responsible for overseeing delivery of day-to-day running of the Hostel; delivering exceptional customer services which exceeds expectations, In managing the Hostel, you will oversee a high quality housekeeping service alongside project managing maintenance works. You will also be responsible for growing accommodation bookings and optimizing occupancy.

Working closely with management, you will contribute to the effective promotion of the Hostel as a destination for students and businessmen. You will support, develop and nurture local partnerships and business to business relationships.

Main responsibilities as below:

1- Develop, manage and update key systems of record for all the incoming and outgoing residents of Hostels.

2- Rent collection from all residents on time and handing over the collected rent to management on daily basis.

3- Close monitoring and follow-up from the residents who have more than one month overdue rent. – double defaulters (At any time the percentage of double defaulters residents as compared to total residents should not be more than 5%).

4- Preparation and close update of rent collection, over dues, rooms occupancy, check-ins, check-outs and room movements lists.

5- Management and update of hostel management software, as directed by the management, to keep the residents and rooms details up-to-date.

6- Submission of various hostel related utility bills across the relevant banks.

7- Design, development and management of hostel marketing and promotion activities on ongoing basis by keeping management updated.

8- The most important key performance indicator is “Occupancy percentage”. Occupancy percentage is the percentage of total residents living in the hostel as compared to total available beds in the hostel. Hostel manager’s all activities and actions should revolve on consistent basis to improve the “Occupancy percentage”. An Ongoing target for hostel manager would be to keep this percentage at 100%. This will also include coming up with continuous improvement suggestions for management which should be incorporated in the hostel to improve the occupancy percentage.

9- Supervision and training of all the support hostel staff including security, helpers and cleaning staff. Hostel manager will be responsible for all the support staff to ensure that they carry their duties properly.

10-Maintenance of record of all guests visiting hostel residents on proper basis. Details of guests visiting residents to be updated on daily basis on Hotel Eye website.

11-Design, development and maintenance of records to keep a comprehensive overview of maintenance work needed to be done in the hostel on daily basis e.g. Washroom leakage, broken light/fan etc. Hostel Manager will be provided details of all technicians i.e. Plumber, Electrician etc. and he will be responsible for calling these technicians as promptly as possible to get the job done.

12-Maintenance of close ties with close by government hostel administrators, restaurants, property agents, delivery staff etc. to run cross-promotion campaigns targeted on improving the occupancy rate.

13-Dealing with “problem” residents may it be for rent collection or other matters and ensure resolution of matters appropriately.

14-Organize and implement a rotating schedule for deep cleaning each area of the hostel

15-Maintain accurate and up-to-date record of expenses (with all the receipts) and revenue.

16-Design, development and implementation of new measures to ensure that Hostel meets the changes needs of the guests

17-Constant effort to form ideas and execute on those ideas to capture more market share and capture new markets.
