· Supervise administrative matters pertaining to general office administration.
· Assist in repair and maintenance work as per assigned timeline.
· Maintaining the administrative stock (Stationary, maintenance tools, First Aid kit, Uniforms, etc) and updating stock report.
· Coordinating and liaising with all the departments regarding all sorts of printing tasks and activities.
· Manage office supplies stock and place orders
· Book meeting/conference rooms as required
· Distribute and store correspondence (e.g. letters, emails and packages)
· Arrange events, travel and accommodations as and when required
· Schedule in-house and external events
· Facility management in amicable manner by way of working along with contractors etc.
· Ensure office requirements are fulfilled and maintenance and safety standard of office premises is up to acceptable standards.
· Manage the support staff and actively monitor their performance.
· Asset management by tagging and updating record.
· Maintaining record of Gate passes
· Handling petty cash and settling all payments in defined time limits.
· Any other task assigned by the line manager/ HOD.
· Manage office supplies stock and place orders.
· Prepare regular reports on expenses and office budgets.
· Focal Person for all Administration Related works. And with vendors.
· Ensure that the Purchase orders are made, prepare and process according to the requirements and maintain record (hard & soft) copies
· Receiving and finalizing of vendors quotations
· Processing of Invoices from different vendors for their payments.
· Manage and execute repair & maintenance of Office
· Manage and keep record of lease agreements for office & other Properties.
· Renewal of contracts/ frame work agreements etc.
· Offer/ bidding /contract OR agreement preparation for Vendors.
· Keep record of fixed assets for Inventory data base management- Physical check on quarterly basis.
· Monitoring and maintaining office equipment and inventory supplies, order replacement supplies as needed.
· Provide communication between admin and finance department to ensure that expenses are paid in due course of time in order to maintain healthy business relationships.
· Overseeing and supervising administration, receptionist and support staff (Cleaner’s, Office boys,) on regular basis.
· Processing of sim cards, visiting cards and employee cards as per the data shared by HR Department.
· Recording & distributing monthly / weekly operations meeting minutes.
· Act as a focal person for booking of tickets and hotels for staff and Management.
