Key Responsibilities-
Responsible for providing quality sales and emails on the basis of provided guidelines.
Maintaining a regular reconciliation crosscheck on all documentation in line and ensure that all required custom procedure, DPWorld policies and procedures must be duly adhere, shortcoming if any to be highlighted promptly.
Generating Booking Forms of(Bonded, non-bonded, import/export movement and their proper association in Navis Express and Online system updates
Handle queries of shipping lines, local customers and clearing agents.
Learn and make problem free process in export consignment received in the facility.
Understand Import documentation according to the SOPs and Legal requirements.
Update system for all operational activities and the services provided for grounding and examination.
Keep an eye on reconciliation of the data with terminal and customs.
Build good relationship with all customers like shipping lines, Shippers, Consignees, Agents, etc. for better coordination and business run.
Build strong team in documentation/customer services for error free processing.
Ensure compliance of Business Process, QHSET / Security policies and observe compliance of relevant procedures and policies.
Meeting and greeting clients and visitors to the office. Typing documents and distributing memos. Supervising the work of office juniors and assigning work for them. Handling incoming / outgoing calls, correspondence and filing.
Organising business travel, itineraries, and accommodation for managers. Monitoring inventory, office stock and ordering supplies as necessary.
Updating maintain the holiday, absence and training records of staff. Responsible for purchase orders. Raising of purchase orders and invoice tracking.
Creating and modifying documents using Microsoft Office. Setting up and coordinating meetings and conferences.
Updating, processing and filing of all documents.
Maintain good working relations with other stake holders.
Contribute to the continuous improvement process and meeting Business Objectives.
Handle day to day affairs of admin and customer support functions with zeal and zest.
Deal with routine administrative jobs like management of transport, canteen, housekeeping, visitors, etc.
Deal with staffing administration matters like attendance, overtime,, work schedule in close coordination with HR Admin department at QICT.
Archive mails and documents on daily basis.
Coordinate for trouble shooting on daily issues
