Responsible for overall quality system in HR department
Understanding and executing staffing requisition, requirements and issues from all departments
Draft and update of documents such as job descriptions, employee handbook, performance appraisal, forms, SOP, policies and other HR related documents.
Sourcing candidates via recruitment agencies and job online advertisement
Screening the candidates by resume shortlisting, phone interview and personal interviews with coordination with the concerned departments & background verification of the shortlisted candidate
Issuing Letter of Offer/Intent/Employment to the selected candidate
Maintain employees’ leaves, medical and attendance record. Keeping track of employees’ attendance / absenteeism and report to Operations Manage
Review, update and maintain proper filing such as employees’ medical insurance policies
Conduct orientation program and briefing to new employee
Setting up / Update / Forward email addresses for new employees and resigned employees.
Attending / Understanding employee’s grievances in their work engagement level and implement corrective measures for them
Conduct exit interviews to identify reasons for employee’s termination
Planning of company events or activities on occasions by management’s approval
Organizing training sessions or trainings for employees ensuring they are fully equipped to be able to perform their duties.
Recruitment and Selection of Human Resources for all offices including Head office and branch offices. Draft Ads and share through recruitment Sources.
Go through CV Screening of collected CV’s.
Shortlist candidates on the basis of criteria.
Interview Schedule with the candidates.
Ready pre-employment documents for interviewing Candidates.
Call to Selected Candidate for joining.
Prepare appointment letter and share with account Department.
Reference checking of selected candidate.
Ensure proper orientation of the new employees on Joining.
Welcome new employee on the board.
Introduction to office staff.
Ensure completion of Joining or Declaration report from new employees.
Ensure briefing of HR polices and company decorum to new employee.
Collection of employee personal file documents.
Ensure issuance of SAP code and official Email ID of new employee.
Provide Bank account Opening Letter to new Employee.
Ensure Maintenance of Personal Files of the employees of all Offices.
Ensure Maintenance of HR Log files.
Draft regarding Hiring, Transfer, Promotion, Experience, Warning, Termination, Office order. Register new Employees in EOBI/PESSI.
Monthly Verify employee’s entries and exit from company.
Maintain CV’s Data of candidates interviewed.
Daily Attendance checking.
Maintain important circulars and companies /Institutes promotion documents record.
Ensure all HR polices are implementing in offices.
Prepare Increment and Performance appraisal forms and assist Managers in completing proper Performance appraisal for compensating true performers.
Book Air tickets after coordination with concerned Department and then with travel agent and also processing its monthly billing.
Admin related Task:
Be responsible for incoming and outgoing calls and emails
Manage office equipment and infrastructure to insure a well running office Responsible for the overall running of the reception operation
Assist in logistic arrangement including flights reservation, hotel and vehicle arrangement for staff, visitors, consultant and interns
Assist in procurement stationary for staff and workshop and assets of the office
Update the filing system and manage filing the office documents for both hard and electronic copies Handle all the company’s Bills like Gas, Electricity, Food, Milk, Ptcl, Ufone, Travelling, air Tickets, Rent bill etc
Prepare correspondence memos, reports and presentation in relation to the office operation
HR related Task:
Facilitate HR activities in the team: contract, recruitment and employee relation Ensure to develop job description for current and new position
Assist in performance management
Provide coaching and training to direct staff on HR and Admin function
Monitor and record employee time sheets and leave request
