Management of the recruitment process including advertising; short-listing and interviewing, reference checking, job offers, employment contracts. Organize briefing schedule for new staff in line with departments head. Assist in identifying the needs of capacity building to current and new employees and prepare development plans for the staff. Prepare monthly reports, maintain staff related database on excel and google sheets including leave record, performance management database, Staff MIS, time sheets. Payroll, and insurance claims. Assist national and international staff visas, hotel bookings, travel arrangements, ensure employee grievance are critically assessed and resolved if legitimate with immediate effects.
Provide Human Resources, administration and other General Office support to the Human Resources team in day to day operations to ensure efficiency and effectiveness on systems and procedures. Assist in advertising vacancies in accordance with recruitment procedures and deal promptly with all recruitment-related correspondence. Maintain staff development records/database and assist HR Officer to implement staff development plans. Assist in visa applications / work permit procedures for expatriate staff as required. Maintain a staff database to include all staff personal data and leave records (annual, sickness plus R&R). Liaise with the Department managers and the staff on completion of time sheets and ensure timely submission to the Finance Department on monthly basis.
Assist HR Officer in advertising vacancies, recruitment and recruitment related correspondence with candidates; reference checking and employment paper work. Create and maintain staff personal files and ensure new staff has submitted all required documents. Assist in office administration, flight booking and guest arrangements. Assist in payroll preparation by calculating overtime and completing the times-sheets. Assist in organizing events and general office administration.
