Programme Management and Quality
• Extend support in institutional strengthening to humanitarian partners with a strong emphasis on effective delivery.
• Coordinate with all stakeholders for activity implementation and support program manager for oversight of the budget plus additional funds management for response.
• Identify, track, assess, report and mitigate related to institutional strengthening and capacity building.
• Regularly coordinate with implementing partners, review progress as per plan and update the tracking of progress.
• Ensure qualitative and quantitative information that provides evidence of impact and change for advocacy and influencing work.
• Work with admin team to organize events and workshops
• Assist in resolving any administrative problems and inquiries
Partnership Management and institutional strengthening
• Assisting the Program Manager to respond to partner’s requests in a timely manner.
• Implement and improve the Institutional Strengthening and capacity building of implementing partners in alignment with the principles of Local Humanitarian Leadership, Localization, and Sustainable development
• Support and build the capacity of the partners at both strategic and operational levels, engaging stakeholders and building relationships to strengthen resource mobilization
• Liaise with partners on weekly basis to follow up on challenges of implementation or new requests and keep records accordingly
• Troubleshoot project implementation challenges and manage risks related to partner’s implementation strategies
• Coordinate with partners and Oxfam colleagues for conduct of trainings, meetings and other gatherings as needed
Management Support
• Supporting the program manager and relevant country colleagues in processing partners’ letters of agreements and grants payments to partners
• Conduct and/or organize monitoring and follow-up trips to partners liaising between partnership coordinator, technical coordinators and partners’ focal points
• Promote Oxfam, partners and others learning on partnership practices and contribute to reflections and learning
• Provide country, partners and the Country Leadership Team (CLT) with accurate and timely response delivery updates highlighting progress and challenges.
Coordination, Compliance and Reporting
• Responsible for the preparing and maintaining documentation for partner-related activities in clean, tidy and well-organized manner at all times
• Record and archive minutes of meetings and field visit reports to partners and relevant stakeholders
• Responsible for archiving and documentation of project data in soft and hard form including uploading it on BOX for management information and review
• Ensure project implementation are according to the agreed plans and donor compliance.
• Assist in preparation of regularly scheduled reports
• Assist on other tasks as requested by the Line Manager and as deemed necessary for partnership processes
Core Responsibilities:
· Arrange and organize the internal meetings of staff for project implementation.
· Coordinate with the field team to ensure the implementation of CARM in close coordination with the MEL team.
· Provide support to the team in developing and submitting timesheets, expense reports, bi-weekly reports, etc.
· Ensure timely data collection and provision to the Project Manager for analysis.
Data Management:
· Collect, maintain, and submit the trainings reports to project stakeholders.
· Collect and maintain project-related documents.
· Work closely with Information Management, where applicable, to ensure accurate and effective data presentation, graphics and maps are created.
· Gather and evaluate relevant data for reports.
· Select, manage, and acquire resources (Hard/soft copy) to meet current & anticipated needs.
· Oversee District Field Supervisor (DFS) bi-weekly reports, taxi claims, logbooks, and other documents.
Project Reporting:
· Note and write the meeting minutes to further share with SMT members for taking timely decisions.
· Write monthly, quarterly, and mid-year, project performance reports.
· Collect and compile the lessons learnt, best practices, case studies as shared by the Project Monitoring officers as captured during field visits.
· Write zero draft external and internal reports, including donor report for the project manager.
· Compile, consolidate, and analyze data on the project’s implementation and indicators
· Contribute to and edit donor reports to ensure a high standard of reporting.
· Review reports with management team in a timely manner before any submission
Communication:
· Train field staff and colleagues on project mandatory reporting formats such as daily and bi-weekly report.
· Lead, manage and motivate the team, ensuring that they have clear visit objectives and receive meaningful feedback on their performance.
· Disseminate lessons learnt and findings from the programs.
Assistance:
· Ensure timely generation of PRs for project related activities.
· Support the Senior Program Officer (IPC) in arranging capacity-building training for health practitioners.
· Support the MEL team in implementation plans and status from the field team.
· Provide logistics support in conducting meetings/events including PROREVs, Staff review meetings, and meetings with other key stakeholders.
· Assist in the preparation of progress reports and prepare training reports.
· Assist technical staff in the preparation of various program documents and correspondence including the scope of work for procurements, letters, PRs, etc.
Additional Tasks:
