Develop weekly/monthly travel schedules, coordinating between program staff and drivers to allocate use of vehicles without any interruption in work.
Under the guidance of the Administration Manager, manage the pool of vehicles (Bikes, Cars, Loading Mazda, Lifters etc.) including their service, repair and maintenance and bills processing.
Ensure vehicles have valid insurances; drivers have valid permits; insurance claims are processed in a timely; maintenance and servicing is achieved in a timely manner.
Prepare & Monitor vehicle log books (include check on Oil change, Tyre change, all other Maintenance) record on a weekly basis.
Keep track of fuel card/fuel allowance utilization for each vehicle (rental vehicle/Contractor vehicle and company owned) and make monthly reconciliation of bills and vehicle records and proceed to concern department.
Make sure timely renewal/payment of token tax, routes and fitness certificate of all official vehicles and all types of excise duties activities.
Make sure timely inspections of all Vehicles.
Make sure timely processing of contractual bill for Pick and drop service.
Monitor all staff working under Fleet domain.
Perform other duties as assigned by the HOD regarding fleet management.
