2 undertakings created on specific company letter head for the following purpose
Make a copy of all TT payment documents for company record
Submit all swift documents to process the payment to supplier
Follow up on TT Payment until swift copy is received and file appropriately.
Submit the swift copy to the management to email the supplier for confirmation by the supplier
Check the account details of supplier for open market TT payments, from emails/invoice to make sure they are correct.
Create detail of open market payment to be done and share it with the import manager (including the following).
Account detail (account number)
Swift code
Bank name of supplier
Name of supplier
Address of supplier (optional)
Mention name of item
Amount to be paid
Decided/finalized exchange rate where applicable.
Check the application copy sent by the currency exchange to make sure it is correct
In case of any changes, get them approved by management and email to currency exchange
Follow up the currency exchange to send swift/MT 103 copy after making payment
Check details mentioned on the swift/MT 103 copy to make sure they are correct, submit it to management get confirmation of payment from management, and then file swift/MT 103 copy.
Create the purchase order in the system for all imports.
Create the shipments for all imports.
Maintain TT list on daily basis for all imports
Check WEBOC status for all items under clearance and give update to import manager.
Create I form in WEBOC.
GET I form approved from bank.
Recheck all the documents for TT payments through banks:
Declaration of payment through said bank only and not any other bank
Request to do payment on company behalf.
