• Maintain executive’s agenda and assist in planning appointments, board meetings, and conferences, maintain calendar, etc.
  • Schedule client conference calls, video conference sessions, and meetings in the company conference room.
  • Attend meetings and keep minutes.
  • Receive and screen phone calls and redirect them when appropriate.
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
  • Make Travel arrangements/raise requisitions for Traveling for executives.
  • Handle confidential documents ensuring they remain secure,
  • Maintain electronic and paper records ensuring information is organized and easily accessible.
  • Receive calls from customers and either assist them with their questions or take a message for the proper concern.
  • Conduct research and prepare presentations or reports as assigned.
  • Prioritize daily administrative tasks to ensure that projects are completed on time
  • Is responsible for assisting or handling all aspects of planned publicity campaigns/administrative and PR activities.
  • dealing with inquiries from the stakeholders, public, the press, and related organizations

Handle financial matters and related tasks

  • Must possess Bachelor's degree. Master in the Communication/Marketing/related degree will be preferred.
  • Proven 3 to 5 years of proven experience as Executive Coordinator or similar administrative role/ Marketing in a Construction/Engineering/ Real State industry would be preferred.
  • Proficient in MS Office.
  • In-depth knowledge of office management.
  • Familiarity with basic research methods and reporting techniques.
  • Excellent organizational and time-management skills.
  • Outstanding communication, presentation, and negotiation abilities.
  • Integrity and confidentiality.
  • Is able to travel locally and internationally.

A background in finance will be considered a plus.
