Handle Appointment Calendar of the Chief Executive, Communication of Critical and Confidential Issues on behalf of the Chief Executive to the Executive Management of the Company. Successfully achieve CE Secretariat Administration: Setup General Managers and Senior Staff Monthly Meetings, distributing Agenda Points, ensure Timely Start of Meeting, Taking Minutes of the Meeting and distributing the same and also making Follow Ups to ensure the completion of Agenda/Open Points within Timelines.
• Schedule and administer appointments; Supervises incoming correspondence, letters, emails, faxes and internal memos; deal appropriately and set priorities etc.
• Expertly deliver effective administrative and secretarial support to the Executive, uphold daily task list, arrange meetings and create appointments with individuals on a priority basis.
• Supervise all administrative and secretarial functions of CE Secretariat independently such as dealing with visitors, assisting / interacting Chief Executive in various Events.
• Compose and answer routine emails, answering and calls of Chief Executive also to facilitate Chief Executive in day to day correspondence as well.
• Receive and greeting guests and arranging refreshment if required.
• Provide information about programs and services, as requested and appropriate.
• Responsible for maintaining Chief Executive Officer calendar, itineraries, and coordinating visits and travel arrangements.
• Keeping track of correspondence with various stakeholders / departments in line with the guidance of CEO.
• Arranging appointments of local and foreign dignitaries, maintaining digital schedule for seminars, workshops and conferences (if any), preparing agenda, working papers, drafting minutes of meetings and carrying out follow-up actions within the NDRMF and with public and private entities (when required).
• Responsible for maintaining office files and records (manually & digitally).
• Liaising an effective bridge between all the departments of NDRMF and CEO(Secretariat).
• Any other task assigned by the CEO from time to time
• Receive and respond to AWT guests and guide them to respective departments .
• Provide information about their concern Business unit or department .
• Recording the arrival and departure time of visitors in register and system and report to General Manager .
• Communication and coordination with other departments.
• Receiving Curriculum Vitae on the behalf of HR and reported it to HR.
• Managing daily mail and courier activates.
• Handle telephonic inquiries.
• Answer all client questions and incoming calls.
• Take messages and communicate to appropriate employees.
• Notify security officer about unescorted guests and emergency situations.
• Disseminating information for upcoming events and meetings.
• Perform all additional duties as assigned by senior Officer.
