ADMINISTRATION

COMPANY SECURITY
Looking after the security of company head office /Project sites and Plants.
To make ensure the vehicles entering/leaving the company premises are properly checked/searched by security staff.
Implementation of control procedure on security and protocol of visitors. The visitors record is maintained, visitor's cards are issued and they are escorted to the correct offices. No unauthorized people enter the company premises and all entries are guarded
Looking after CCTVs whole operation for security purposes.
. Manage CCTV operators' duties.
To make ensure that the smoke detection system and CCTV cameras are properly working.
To ensure daily inspection of security activity reports.
To ensure operational security matters.
Security night patrolling and any mishap report.
Security allocation on project Sites, Head office and plants.
HOUSEKEEPING
Housekeeping of the company production Halls, and mosque. Executive secretariat, gangways, road, Dining hall, and all company offices.
Responsible for space management.
To make ensure that all type of material is properly stacked at all location
Housekeeping of labour accommodation and Managers residence and company guest house.
General Administration

GATE OFFICE
All documents relayed to gate office like INWARD / OUTWARD, General Receipt Note (GRN), gate entries, registers, records and in / out gate passes at gate office are maintained well as per policies
/instructions in ERP System.
To ensure that all records are being maintained at the company gate, staff movement report, vehicles movement report and gate pass record on all locations.
WEIGH BRIDGE
Looking after all the matters of weigh bridge of INCOMING OUTGOING vehicle must be weight then out of company premises area through weighbridge operator and security staff. If any error is found in the weighbridge.
Conduct weekly meetings regarding Gate Office Weigh Bridge
FRONT DESK OFFICE
To make ensure that all calls record are maintained in the call log.
To send daily call record to audit department for extension wise for verification,
To conduct a monthly audit of all calls after getting the record from the front desk office.
Responsible for the smooth working of the telephone exchange.
Gettingng daily reports from telephone technicians for all installed extensions.
Tomake ensure that communication equipment, like telephone lines, telephone sets, fax machine photocopier are properly maintained.
To ensure strict control over telephones exchange fax machines.
Effective vendor/contract management specific to front desk services.
HORTICULTURE
Looking, after all, matters about gardening in the entire factory.
Assist with landscape maintenance, restoration, and design
Install and cultivate functional and ornamental plants
Transplant and prune shrubs and small trees
Weed landscape beds and assist with mulching
Identify and treat potential pests or diseases
Provide plant care advice to all horticulture e team members.
CONTRACTS/AGREEMENTS
To finalize all sorts of contracts/ agreements e.g. Mess/ Cafetaria, Janitorial Services, Transports., waste scrap, Civil contractors etc.
, Revision of transporters and vendors etc.
DISPENSARY/ ACCIDENTAL MANAGEMENT

Looking after the company dispensary ensure timely provision of medicine to the company dispensary.
Ensure first aid boxes installed on various places of premises are properly maintained.
To get prepare an accident report and take action as per circumstances.
Take preventive measures to save employees from accidents and diseases.
PROTOCOL

To make ensure room reservations in five stars to two stars hotels for Foreigner Guests, Auditors and Managerial cadres.
Arrangement of Hi-Tea and lunch for Directors. Managerial, Guest and Executive Staff.
To ensure proper arrangements are made for local/overseas official travelling including passport and visa.
To make ensure to provide timely Pick drop from airport to location.
To provide the best food and accommodation as per company policy. Foreigner guests (Turkish, Sri Lankan. Chinese.

PROJECT MANAGEMENT
Massive mobilization of staff, equipment, and material, for completion of Project.
Ensure the proper maintenance and repair of electrical, air- conditioning and communication equipment.
Establishment of time office for attendance and payroll.
Establish temporary offices for the completion of the project
To ensure efficient operation of Project sites, Store and Mail systems.
Ensuring excellent MR (Maintenance Repair) services at the project site, and accommodation of technical staff, senior management, and security as well.

CAFETERIA MANAGEMENT

EXECUTIVE CAFETERIA

Looking after all the affairs issues relating to the Managerial level, Executive level meal food Quality and discipline of the Cafeteria.
Arrangement of Ramzan Package, Free Iftari, Special Eid Food.
Procurement of cafeteria material,
Medical, hygienic of cafeteria staff, and spray for Pest Control
Handling the budget for the entire support function and ensuring zero overrun in the allotted budget
Cafeteria budget and cafeteria menu.
Monitor costs and expenses to assist in budget preparation
Arranging cafeteria committee meetings of the Executive cafeteria on monthly bases to resolve the issues that were submitted by the executives in the Complaint/Suggestion register.

WORKERS MESS
Looking after all matters related to workers' mess about food and service.
Arranging mess committee meetings of workers mess on monthly bases to resolve the issues registered by workers. Management. Discipline of Mess Staff.

EVENT MANAGEMENT
Organize and supervise other office activities (recycling, renovations, event planning, etc.)
Arrangement of farewell family-together show retirement events, annual functions, price distribution ceremony etc.

ADMIN POLICY AND PROCEDURES
Plan and coordinate administrative procedures and systems and devise ways to streamline processes
Ensure the smooth and adequate flow of information within the company to facilitate other business operations
Ensure operations adhere to policies and regulations.
MISCELLANEOUS
Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
Issue appropriate purchase requisitions and negotiate contracts for maintenance of office equipment
Oversee administration of staff benefits, bringing anomalies to CEOs notice.
Ensure timely provision of office tools and equipment.
To ensure that all workers should be in company uniform, as per dress code policy and they must display their company ID cards on the front pocket.

CIVIL WORK
Looking after Building construction and repair maintenance

Fleet Management

POOL VEHICLES
Registration and insurance of all company vehicles.
Effective vendor/contract management specific to transporters.
Repair and maintenance of the companys vehicles. Liaison with the insurance company.
Replacement of vehicles through an insurance company in case of theft/total loss.
Maintain / updated records of company vehicles allocated to employees and administer the implementation of the decisions taken as per the relevant policy of the company.
Control vehicle utilization, allocation, logbook maintenance, mileage, licensing, and other related issues at the site and as well as at the plant and Head Office.
HIRED VEHICLES
Discipline of Hired Vehicles (Buses, Coasters, Hired Cars. and Loader Trucks etc.) maintain their monthly rent, daily KM bills, Extra KM of Fuel and service charges.
Weekly inspection of all the hired transport and point out faults in every vehicle by its number on a weekly inspection form handed over to the hired transport contractor to check all the mentioned faults and rectify the faults before next inspection
RESIDENTIAL MANAGEMENT
Looking after Accommodation of Executives (Officers, Managers, Guests) in the hostel like food and cleaning services and other facilities.
Ensuring excellent MR (Maintenance Repair) services at the plant accommodation of all staff, and security as well.
To get prepare space availability Report
Past item-wise list in every room.
To resolve the issue related to Electricity, Cleaning, and Water Gas.

PUBLIC /GOVERNMENT RELATIONS
Effective liaison with, Law Enforcement agencies, Local administration, the Labor Department, EOBI, PESSI Office, and PTA. WAPDA, Wasa, LABOUR COURT, SUI GAS, TELECOMMUNICATION COMPANIES, and other similar authorities to resolve issues about industrial peace and obtain no-objection certificates.

Human Resource Management

Recruitment Selection ( Talent Acquisition)
Coordinating with hiring managers to identify staffing needs.
Determining selection criteria.
Sourcing potential candidates through online channels (e.g. social platforms and professional networks.)
Formulation of Job Advertisement and approval from management.
Shortlisting the CVs as per job Specification.
Create strong talent pipelines for the companys current and future hiring needs.
Prescreening and telephonic interview. Arranged panel interview and video conference interview.
Managing the candidates by establishing recruiting, physical interviews/ Online Interviews i.e., Skype, zoom and Teams to facilitate the hiring of qualified job applicants for open positions.
Collaborating with departmental managers to understand skills and competencies required for openings.
Conducts or acquires background employment eligibility verifications
Plans and conducts new employee orientation to foster a positive attitude toward Company goals and refresher sessions for existing employees.
Maintains the work structure by updating job requirements for all positions.
Develop annual plan for staffing at the workplace, for approval of CEO.
Manage the implementation of recruitment policy, including selection and ensuring that recruitment practices are fair and consistent and comply with regulations and organizational good practice.
Work on post-Pre-hiring rationalization.
Conduct exit interviews and perform analysis of the same to identify issues/patterns and work towards resolving them
Manage staff induction and probation in line with Company policy
HR Policy, SOP
Develop recommendations for improvement of the organization's personnel policies and practices.
Maintains management guidelines by preparing, updating, and recommending human resources and procedures at the Head office/project site and plants.
Keep the senior management team updated and informed on important matters related to HR and staff development.
Disseminate information about policies, procedures, working conditions, and employee compensation benefits
Succession planning.
Be dedicated to the development of successors and individuals who have the potential for further responsibility.
Be involved in the identification, assessment, development planning and review of successors to positions.
Identify internal and external work assignments for further learning.
Update succession plan annually.
Maintain the four levels for a future leader.
Organizational Development
To do rationalization.
Design review Performance Management System.
Make recommendations on initiatives and policies that are required for building a progressive and vibrant work culture.
Participate with teams to develop and implement guidelines and policies that support our business, culture, and philosophy.
Implement strategic organizational change to increase productivity and employee satisfaction providing guidance on development for managers and their teams.

Employee Training Development

Co-Ordination with the Internal External Trainees for Training Development Activities in the Areas of Soft Skills Technical Trainings.
Compensation Benefits Management
Developing and implementing policies regarding Performance management and improvement tracking systems.
Structure competitive benefits packages, and measure their success.
Plan for employees performance appraisal develop tools for appraisal, job evaluation and development.
To Aid in Decision Making with Respect to Salary Grade Fitment of Existing Employees New Recruits.
Employee relations
Ensuring compliance with company-approved policies and procedures.
Ensure that all staff are aware of policies and procedures in place.
Act as the focal point for all initial queries from staff regarding policies and procedures.
Monitor and advise on disciplinary and grievance matters in accordance with company policies and Procedures.
Investigate and report on industrial accidents.
Bridging management and employee relations by addressing demands, grievances, or other related issues.
General Responsibilities
Personal folder management.
Performance Evaluation of employees, appraisal and increment.
Overview payroll while in finalizing process.
Revision of contracts of employees, labour contractors
Ensure that PESSI EOBI contributions are paid on the prescribed schedule.
Make sure the final payment is being made as per policy and procedure.
Handling all issues related to gratuity and provident fund.
Maintains historical human resource records by designing a filing and retrieval system keeping past and current records.
Management of leave records, absentees, appointments, promotions, transfers, etc.
Attend Board and Executive Committee meetings, disseminate information between governing bodies and staff and report on workplace operations and other matters as necessary
Facilitate change in the organization to help in transition at all levels and send employee communication emails.
Managing headcount planning part and ensuring manpower rationalization where required.

Compulsory Group Life Insurance, Benefits from Welfare Department like Marriage Grant, Death Grant, Scholarships.
Employee safety, welfare, wellness, and health.
Ensure punctuality in the company and suggest corrective actions based on attendance.
To ensure the compliance of Rules and Regulations according to Companys policy.
Handling staffing issues. Such as conducting different types inquiries on employee complaints.
Take disciplinary actions, and handle harassment/discrimination cases as well as misconduct complaints by filing incident/grievance reports promptly.
Develop good relationships with all department heads for understanding and resolve the issues of the company employees.
Ensure that all staff members receive appropriate training to perform their jobs effectively
Ensure subordinates are present at work stations at a given time during working hours.
Maintain discipline of section/employees working under command.
Ensure safe custody of the Companys property including machines and equipment.
Ensure neatness, cleanliness and hazard-free environment at the working station/area.
Follow all company rules regulations.
