Worked for SICPA INKS Pakistan Private Limited as an Executive Assistant to Finance Director and Director Operations from 01-03-2016 – 6th Dec 2017.
My. Responsibilities are:
• Assist Director Finance in holding of meetings of the Board including preparation and circulation of agenda, minutes of meetings, and working papers.
• Draft routine office correspondence (standard office letters, memos, circulars, faxes and office orders) as directed by FD/DO, maintain record of all incoming and outgoing correspondence, and file papers as marked.
• Update to SIPL as Access Control System for visits approved by the FD/DO/MD.
• Schedule and maintain log of meetings, interviews and appointments of FD/DO and follow-up on changes through reminders.
• Maintain office files of the Directors.
• Distribute official mail and correspondence as marked by the Director.
• Coordinate travel and protocol arrangements for FD/DO with focus on their individual preferences for travel and stay.
• Liaise with offices of Ministries, Government officials, clients, dignitaries, and Group companies for scheduling meetings of FD/DO.
• Organize and coordinate meetings of FD/DO and their presence at special events within the Company as well as externally.
• Maintain confidentiality of all information processed through the offices of FD/DO.
• Prepare applications for visas and other travel documents for FD/DO.
• Maintain mailing lists and contact details of key officers in Federal Ministries, Provincial Government Departments, regulators, and personal acquaintances of FD/DO.
• Coordinate nominations of SIPL staff for seminars, workshops, and training including payment of fees.
• Amendment/ Editing PowerPoint presentations for the Directors.
• Requisition crockery and stationery on quarterly basis, and monitor consumption of office stationery to prevent misuse.
• Organize dispatch of in-house newsletter, diaries, planners, and giveaways to contacts on FD/DO’ mailing
