Abacus Consulting seeks a diligent and organized Trucking Dispatch Agent to efficiently manage freight operations within the U.S. trucking industry. This role involves coordinating with drivers, brokers, and shippers to ensure timely and compliant delivery of goods. The agent will oversee booking shipments, route planning, monitoring shipment statuses, and maintaining constant communication to ensure operations run smoothly and cost-effectively. Working in U.S. time zones, the agent applies strong negotiation skills to secure favorable freight rates while adhering to all federal transportation regulations. The Trucking Dispatch Agent will be fostering collaboration and performance excellence within freight dispatching activities. This leadership responsibility includes managing team workloads, resolving operational challenges, and ensuring compliance with all safety and service standards. The position demands multitasking capabilities, proficiency with dispatch tools, and an emphasis on maintaining accurate records to support logistics and accounting functions.
Responsibilities
- Search and book loads through leading load boards such as DAT Freight & Analytics and Truckstop to secure timely freight assignments.
- Coordinate and dispatch drivers effectively to manage pickups and deliveries, optimizing fleet utilization and service levels.
- Negotiate freight rates with brokers and shippers to obtain competitive pricing while maintaining profitable operations.
- Plan efficient routes to maximize delivery speed and reduce empty miles, improving overall operational efficiency.
- Monitor shipment progress continuously and provide consistent updates to stakeholders regarding delivery status.
- Maintain clear and ongoing communication with drivers about schedules, route changes, delays, and delivery instructions.
- Prepare, manage, and organize dispatch documentation including rate confirmations, invoices, and proof of delivery to ensure accurate record-keeping.
- Ensure strict compliance with Federal Motor Carrier Safety Administration regulations and Hours of Service requirements to maintain safety and legal standards.
- Resolve operational issues promptly, addressing driver, customer, or shipment concerns to minimize disruptions.
- Provide excellent customer support by responding to inquiries and resolving freight-related challenges.
- Maintain comprehensive and accurate records of loads, driver activities, freight expenses, and dispatch schedules.
- Utilize Microsoft Excel, email platforms, and dispatch software systems effectively to manage logistics activities and communication.
- Work efficiently under pressure, managing multiple tasks simultaneously to meet deadlines and operational demands.
