• Check payments vouchers, bills and statements as and when required basis.
• Hand over payments Cheque to vendors/parties and take proof of receiving.
• Equipment (i.e. Office Equipment, Generator, ACs, Security System, CCTV, Telephone lines).
• Draft letters, emails and correspond internally and externally
• Handle confidential documents ensuring they remain secure
• Ensure the upkeep of housing and office facilities and their lawns.
• Keep inventory updated for office supplies, stationery, equipment etc as per organizational operations handbook.
• Handle the petty cash for administrative expenses.
• Maintain proper record of petty expenses and share with head office as per policies and procedures
• Ensure that the office is adequately equipped with necessary supplies and equipment.
• Ensure that equipment, air conditioners, and generators in office and residences are kept in optimum working order, through correct usage and periodic maintenance;
• Photocopy, collate, sort and distribute documents, as requested.
• Administrative arrangements to be made for internal, external workshops, meetings etc on need basis.
• Deal with support staff timesheets, leave records, overtime payments, and any other documentation and coordinate with finance and HR department
• Responsible for adequate provisioning / stock of office supplies and consumables, including cleaning material, tea, coffee etc.
• Uploading monthly attendance of employee through Panicle Machine & share with Head Office.
• Keep close coordination with I.T administrative for any I.T related issues.
• Support Administration Officer in fleet management and HR Administration as and when required.
• Keep track of official vehicle/bikes usage and ensure maintenance of proper log books for fleet, generators etc.
• Procurement of hospital medicines & equipment with all necessary documentation.
• Prepared Demand Requisitions.
• Collect different quotations for different purchases.
• Prepared Comparative Statement
• Prepared Purchase Orders.
• Checked medicines records by Bin Cards and Stock Register.
• Close negotiations with Vendors.
• Mail handling, courier dispatch and tracking of packages & shipments.
• Proficient in using and navigating Microsoft Outlook, Word, Excel and PowerPoint.
• Any other task assigned by the supervisor.
