JOB PURPOSE

The aim is to state the overall significance of the job from the organisation's perspective.

The jobholder is responsible to execute warehouse operations as per company policy and guidelines. He is the custodian of inventory and is responsible for Inventory Record Accuracy and inventory replenishment. He should plan and assist the team of Warehouse Officers and Loaders for SOPs compliance and must ensure that routine checks are placed for smooth operations. He should efficiently plan the warehouse shift operations to gain maximum labour productivity, reduce overtime and ensure timely shipments at optimal VFR. He is also responsible for depletion and disposal of remnants and damages respectively and associated reporting with them to raise claims to principal. He should be constantly communicating with his team (Warehouse Officers/ Loaders), Supply Supervisor, CSL Branch Manager, Accounts Team, IT and Admin team to resolve any operations issues in time.

MAIN ACCOUNTABILITIES

Morning Operations:

·        Supervises the morning loading operations by assigning loading activity between Warehouse Officers and Loaders.

·        Checks the van wise loads and reconciles the VLS and PL.

·        Ensures that the loading activity is carried out in compliance with the dock management plan developed by the Supplier Supervisor.

·        Schedules the work load of the warehouse loading team, ensuring all the vans leave the branch as per assigned timelines.

·        Ensures 100% availability of the warehouse staff.

Day Operations:

·        Consolidates the daily physical count carried by Warehouse Officers and reconciles the inventory to ensure 100% IRA. Any discrepancy is highlighted and reported immediately.

·        Plans and coordinates timely stickering activity with the Warehouse Officer and Loaders.

·        Ensures all the shipments, receiving and return operations are carried out in compliance with the relevant SOPs and documented accordingly.

·        Manage the container on loading and off-loading for HFS, MR, GC, Institutions and Sub-distributors timely as per company standards.

·        Plans and reviews NWTs inventory replenishment on assigned DOC target. Ensures replenishment is managed appropriately.

Quality Assurance:

·        Follows the warehouse layout plan as drafted by the BM.

·        Ensures that the warehouse is completely sealed and only authorized designations, mentioned outside the warehouse entrance, are allowed entry.

·        Ensures compliance of warehouse storage and handling SOPs.

·        Keeps track of warehouse activities and suggests any possible improvements to the BM.

·        Highlights issues related to cleanliness, pest control, fumigation etc. for immediate action.

Cross Functional Collaboration:

·        Coordinates with SS/IT/Accounts/Admin for cross functional collaboration on related business issues to solve them effectively.

People Leadership:

·        Motivates the warehouse team and builds an inspiring work environment to ensure sustainable level of high individual performance, necessary to achieve the departmental targets.

·        Educates staff on COBEC, culture, values, work ethics FASM, integrity, SOPs, credit policies & procedures and housekeeping standards.

·        Listens and addresses warehouse employee concerns in a timely manner.

·        Signs staff overtime on a daily basis and takes necessary actions, such as shift adjustment to reduce overtime.

·        Monitors the employee attendance on a daily basis and ensures 100% staff availability.

Reporting:

·        Ensure that daily cover sheet report and monthly damages, expiry and scrapping stock position reports (Inventory) are prepared on time and shared with the relevant authority to minimize cost

Damages and Shortages:

·        Investigates, verifies and reports manufacturing damage, shortage and excess in the system and to the principal.

·        Ensures timely replacement and posting of trade handling damages, after ensuring NRA SOP compliance.

Safety, Health & Environment

·        Ensure compliance to all relevant safety, health and environmental procedures in the section in order to promote a healthy and safe work environment
