OVERVIEW OF POSITION

Reporting directly to the Finance Manager, the Finance Associate will be part of Finance team in Islamabad performing a variety of job duties detailed below

OBJECTIVES

Objective 1

Accountancy

Tasks & responsibilities

  • Maintain cash book and/or bank book for Islamabad office
  • Perform payments as per AAH policies, procedures and format
  • Check documentation is complete before doing any payment
  • Respect the Cash management policy (payment threshold, validation, etc)
  • Prepare cash count, bank reconciliations and other documents for the monthly closure
  • Coding & stamping of Hard Files after Monthly Closure
  • Receive and check monthly accountancy soft copy and hard documentation from field bases.
  • Verify the soft copy of the accountancy with the hard documentation.
  • Indentify any inappropriate expenditures and report it immediately to Finance Manager.
  • Check the cash and bank reconciliations of the field bases; verify with the Saga any discrepancies found should be report to Finance Manager
  • Check all open advances; ensure all the advances matches during the month. If it is not matching then it should be justified.
  • Ensure all the entries are allocated to the correct financial line, project code and accounting code.
  • Ensure all the description mach with SAGA standard description document.
  • Ensure all HR and logistic costs are allocated as per Cost Coverage Plan (CCP)

·         Follow up pending issues with all field bases

Objective 2

Funds Transfer and Treasury

Tasks & responsibilities

  • Preparation of funds transfer plan twice a month based on approved treasury forecast from Finance Manager, this may require USD conversion from bank. Also, make sure to maintain minimum ending balance at base level as well as at capital level.

 

Objective 3

Archiving and audit support

Tasks & responsibilities

  • Support the Audit & Compliance Assistant in their work especially during heavy workload period
  • Ensure accountancy is well archived and hard documents are  on due time, participate to scanning and filing if requested by the Finance Manager
  • Provide support during pre-audit and external/internal audit (checking vouchers, providing documentation and information to the auditors, etc)
  • Report any issues raised by the auditors to the Finance Manager and the Finance Coordinator in charge of the audit

Objective 4

Legal Issues & Taxation

Tasks & responsibilities

  • Submission of withholding taxes on weekly basis, staff income taxes of salary/final settlements on monthly basis
  • Addressing of any notices issued by FBR with the help of tax consultant

 

Objective 5

Support to the Field

Tasks & responsibilities

  • Act as a base finance on the field when required for a temporary period
  • Support base finance on a daily basis, provide answers to the issues raised and report any major issue to the Finance Manager
  • Ensure good communication flow between the field bases finance department and the capital finance office

 

Objective 6 (Gender)

  • To ensure inclusion across departmental work and within/by the team

  • Support mission level qualification for gender marker.
  • Ensure inclusion within departmental planning, implementation and reporting

POSITION REQUIREMENTS

Mandatory

·         Master's Degree in relevant field

  • Bachelor's Degree in relevant field and/or relevant technical qualification

Preference

·         Minimum 03 years of overall experience and 01 year in relevant field
