Position Objective

Under the general guidance and supervision of Head of Programme Development and Partnerships, the Programme Reporting Associate is responsible for support to overall resource mobilization activities ensuring quality donor contract management and reporting, in close coordination with the programme teams. This includes: coordination of fundraising efforts; lead in coordinating and ensuring quality and timely submission of donor reports for the Mission, and provide support in reviewing and editing donor proposals and reports. This role also ensures the timely preparation and dissemination of briefing documents and reports in support of the ACF mission in the country. 

Mission 1: Support programme development department supporting the development and quality assurance of donor submissions

  • The Programme Development & Reporting Associate is responsible for:
  • Update and maintain information on all donor and Programme reporting requirements and templates.
  • Provide Technical HoDs and field offices with regular updates on reporting requirements and follow-up as required to ensure the timely inputs, clearance and submissions of reports to donors.
  • Preparation of reports by standardizing formats, contents and ensure adherence to donor requirements.
  • Provide quality assurance of reports. This includes gathering of information, consolidation, editing, layout and branding of all required reports which include ad hoc proposals, donor interim and final reports and specific thematic reports.
  • Ensure donor reporting and proposal SOP are followed.
  • Ensure the templates, donor conditions and final version of reports are properly saved in the relevant SharePoint folder and easily accessible to programme colleagues.

Mission 2: Support programme development department in proposal development

The Programme Development & Reporting Associate is responsible for:

  • Support PD Manager in partnership (grant agreements, teaming agreements, sub-award agreements) and audit (internal and external audit documents and reports, due diligence documents and reports) documents are properly archived and shared with the HQ;
  • Support programme departments on the submission of grant extensions and programme changes requests to donors.
  • Ensure the revised plans, and related information’s is saved on the SharePoint folder.
  • Coordinate donor engagements - meetings and technical calls - under the direction of the Partnerships Unit
  • Support in preparation of opportunities analysis for the new opportunities;
  • Support in development of concept paper and project proposal against the guidelines provided by the prospective donor and getting the feedback and support from the Programme, Finance and Management as relevant;

Mission 3: Support in Country Office Strategy reporting of the mission:

The Programme Development & Reporting Associate is responsible for:

  • Support in consolidation and analysing data on programme implementation and indicators (e.g. nutrition, health, water and sanitation) in order to facilitate the preparation of periodic reports, i.e. Sitreps, activity-specific reports, as required
  • Prepare and distribute minutes of the co-ordination meetings
  • Prepare information as required for missions and visitors on ACF Pakistan activities

Mission 4: Capacity Building and Training

The Programme Development & Reporting Associate is responsible for:

  • Provide training and technical assistance, as required, to staff and partners to improve the overall quality and consistency concept notes, proposals and reports. 
  • Mission 5: Ensure compliance with ACFs gender equality, child protection sensitivity and Safeguarding policies The Programme Development & Reporting Associate is responsible for:
  • Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies  
  • Implement all work related activities with a gender, inclusion and child protection lens
  • Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability

Specific skills needed to perform the function

  • Bachelor degree in Development Studies, International Development Social Science or relevant discipline.
  • At least 3 years of extensive experience of business development, donor scoping, quality proposals and reporting.
  • Track record of developing reports for reputable donors.
  • Experience with partner’s reporting.
  • Fluency in written and spoken English required.
  • Strong communications skills with exceptional ability to articulate complex issues in a clear comprehensible manner to a wide variety of stakeholders
  • Excellent writing skills, ability to deliver high quality proposals and documents with tight deadlines
  • Excellent computer skills
  • Ability to work in a diverse environment
  • Ability to work under immense pressure, ability to multi-task and juggle several tasks and relationships at one time
  • Excellent communication skills, experience in representing an organization

  • Donors, Other INGOs and NGOs
  • External fora like PHF, NHN, OCHA etc.
