We are looking for a detail-oriented and proactive Office Administrator to manage and coordinate various administrative functions within our organization. The successful candidate will play a crucial role in ensuring smooth daily operations by overseeing company assets, vendor relationships, and supporting both office and production needs. This position demands strong organizational skills, the ability to multitask efficiently, and effective communication with internal teams and external partners to maintain a productive work environment.
Key Responsibilities
- Supervise administrative staff to ensure efficient day-to-day office operations.
- Manage the company’s vehicle fleet, including registrations, maintenance schedules, permits, and insurance claims.
- Coordinate with vendors, suppliers, and external partners to guarantee seamless service delivery.
- Oversee procurement processes for office, factory, and production requirements, focusing on cost-effective purchasing and timely availability of materials.
- Supervise maintenance activities for buildings, machinery, and equipment to ensure optimal functioning and compliance with safety standards.
- Manage office assets, including issuance and upkeep.
- Collaborate with IT teams and external vendors to address technical support and IT-related needs.
- Liaise with service providers for internet and CCTV services, and oversee internal CCTV monitoring to ensure proper operation.
- Handle petty cash management, coordinate company events, and work closely with the finance department for settlements, payments, and approvals.
- Manage agreements and vendor contracts, maintaining accurate documentation.
- Coordinate with regulatory and government bodies as necessary.
- Arrange domestic and international travel, including visa processing, ticketing, hotel bookings, and communication with travel agencies.
- Support employee relations and accommodation arrangements.
Required Qualifications
- Bachelor’s degree in Business Administration or a related field.
- 1-2 years of relevant experience in office administration or a similar role.
- Proficiency in MS Office applications.
