The Admin Executive is responsible for ensuring the smooth and efficient daily administrative operations within the organization. This role involves managing office maintenance, coordinating with vendors, overseeing cafeteria services, and providing comprehensive support to various departments. The primary objective is to create and maintain an organized, pleasant, and productive working environment for all employees.
Key Responsibilities
Office Administration:
Oversee daily administrative tasks to guarantee seamless office functioning. This includes managing office supplies, stationery, and equipment inventory. Coordinate maintenance and repairs of office facilities and equipment while ensuring the workplace remains clean, organized, and safe.
Cafeteria & Facility Management:
Supervise cafeteria operations to maintain hygiene and cleanliness standards, ensuring timely food service. Coordinate daily food orders with vendors, monitoring both quality and quantity. Keep accurate records of food orders, payments, and related expenses. Manage housekeeping staff to ensure cleanliness in the cafeteria, pantry, and common areas. Oversee the availability of cafeteria supplies such as tea, coffee, snacks, and utensils. Address complaints or suggestions regarding cafeteria services and collaborate with vendors to implement improvements.
Documentation & Record Management:
Maintain accurate administrative records and filing systems, both physical and digital. Prepare and manage office correspondence, reports, and purchase requisitions. Ensure confidentiality of sensitive company and employee information at all times.
Coordination & Support:
Provide administrative assistance to management and various departments as needed. Schedule and coordinate meetings, appointments, and travel arrangements. Assist in organizing company events, meetings, and employee engagement activities. Liaise with vendors, suppliers, and service providers to fulfill office and cafeteria requirements.
Compliance & Policy Implementation:
Ensure adherence to company policies and standard operating procedures. Support HR and finance teams with administrative documentation, attendance tracking, and petty cash management. Contribute to the implementation and continuous improvement of administrative systems and processes.
Communication & Reporting:
Act as a point of contact for internal and external administrative matters. Prepare regular reports on administrative and cafeteria activities, including expenditures. Professionally handle incoming calls, emails, and other correspondence.
Required Qualifications
Education:
Bachelor’s degree in Business Administration, Management, or a related field.
Experience:
2 to 4 years of experience in administrative or office management roles.
Technical Skills:
Proficiency in Microsoft Office applications such as Word, Excel, PowerPoint, and Outlook.
Soft Skills:
Strong communication, organizational, and multitasking abilities. Excellent attention to detail, time management, and problem-solving skills.
