A non-profit organization, based in Bahria Town Islamabad and operations all over the country, is seeking the services of an efficient person to contribute and support the Operations department.

The position will be reporting to Manager Operations, the specific job responsibilities will include but not be limited to:

Job Description:

  • Organize travel arrangements for Office staff by air/road.
  • Maintaining good relations with Hotel’s/ Travels Agents and other service provide.
  • Keep record of the annual renewal of contracts and renew it annually.
  • Visits the market regularly to keep update knowledge of market, and crack the most beneficial deal for office.
  • Assisting in taking quotes from the market and completing the procurement procedures.
  • Responsible for bi-annually assets verifications and ensuring all assets are tagged properly.
  • Keep record of all assets issued to respective staff.
  • Coordinating with Accounts section and ensure payments are made on time.
  • Assist in organizing events as advised by the line manager.
  • Documents events, meetings, workshops and seminars within or outside the project
  • Assist in drawing up travel schedules, organizes transport of visitors and coordinates hotel and ticket reservations.
  • Prepares and organize information materials for meetings, events, and workshops
  • Keeps abreast of forthcoming meetings and events
  • Maintain digital and manual filing systems
  • Keep record of monthly billing cycle of various vendors.
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories;
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Maintaining a positive relation with all other departments and act as focal point for administrative unit.
  • Maintain up-to-date employee leave record.
  • Handle sensitive information in a confidential manner.
  • Develop and update administrative systems to make them more efficient.
  • Any other task assigned by the supervisor.

Job Qualifications and Requirements:

  • An administrative Officer role is well suited to candidates aged 24-30 years and with below qualification.
  • BBA/MBA with 02-04 years of relevant work experience.
  • Experience in development sector will be preferred.
