International Import Procurement Executive

Agay Barho is seeking a detail-oriented and proactive International Import Procurement Executive to oversee and manage the import purchasing activities that are critical for maintaining smooth production processes. This role involves international sourcing, managing import documentation, vendor communication, coordination with freight forwarders and clearing agents, and shipment tracking. The ideal candidate has practical experience in import operations and a solid understanding of international procurement processes to ensure timely availability of raw materials and supplies. This position requires strong organizational and communication skills, a keen eye for detail, and the ability to handle multiple procurement tasks efficiently within a dynamic manufacturing environment. The Executive will work with multiple international suppliers to source raw materials and industrial supplies, manage the import documentation process including letters of credit and shipment verification, and coordinate with internal and external partners to ensure on-time delivery. Although not responsible for managing a team, the candidate plays a pivotal role coordinating between suppliers, logistics, and internal departments. The position requires a minimum of five years' experience in import procurement or international sourcing, preferably within manufacturing or pharmaceutical industries, and proficiency in ERP systems and MS Excel.
Responsibilities

• Assist in sourcing raw materials, packaging materials, and industrial supplies from international suppliers by identifying reliable vendors and negotiating terms.
• Communicate with overseas vendors to obtain quotations, confirm pricing, and establish lead times to align supply chain needs with production schedules.
• Maintain and update the supplier database to support evaluation processes ensuring the selection of cost-effective and quality suppliers.
• Manage import documentation accurately including Pro forma Invoices, Purchase Orders, Letters of Credit coordination, Bill of Lading tracking, and packing list verification to ensure compliance with regulatory and internal standards.
• Coordinate with banks for the opening, amendment, and timely submission of Letter of Credit documents, mitigating financial risks associated with international transactions.
• Follow up on shipment statuses diligently by liaising with suppliers, freight forwarders, and shipping lines to ensure timely delivery and resolving any shipping discrepancies promptly.
• Work closely with clearing agents for smooth customs clearance procedures and manage delivery timelines to streamline the import process effectively.
• Track shipments rigorously and address delays or issues during import transit to minimize disruptions in the production workflow.
• Process purchase requisitions, prepare purchase orders, and maintain comprehensive procurement records in ERP or related systems to support inventory management and audit trails.
• Support inventory and production planning by aligning material arrival schedules with manufacturing requirements, avoiding stockouts or production delays.
• Maintain regular communication with international suppliers to ensure continuous alignment with contractual terms and resolve procurement-related issues.
• Assist in negotiating pricing and delivery terms to maximize cost savings while maintaining supplier relationships and quality standards.
• Ensure strict compliance with agreed commercial terms, import regulations, and company policies to uphold operational integrity and regulatory compliance.
• Maintain import records and documentation meticulously for audit purposes and provide clear and timely procurement reporting to management.
• Track and analyze procurement key performance indicators such as delivery timelines, vendor performance, and order status to drive process improvements.
