Responsibilities:

  • Develops and executes long-term event and program planning.
  • This includes drafting annual budgets for review/approval by Vice President for Development and President, developing recommendations and plans for future events and serving as lead contact for developing annual event calendar.
  • Oversees, develops, organizes, executes, and evaluates all museum events; generates ideas to enhance/expand current offerings.
  • Secures sponsors, program partners, performers and vendors, as appropriate, for each event.
  • Develops budgets, makes purchases (supplies, decorations, etc.), tracks and manages expenses for all special events in order to keep them cost effective and in-line with organizational budget goals
  • Develops detailed event schedules, descriptions, etc. for the Marketing department in order to meet deadlines and needs for publicity/promotion.
  • Creates volunteer needs list and meets regularly with the Manager of Volunteer Services to review needs and the availability of volunteers to fulfill assignments; coordinates training and supervision of volunteers during events.
  • Personally performs required setup labor and supervises work of both paid and volunteer staff recruited for this purpose.
  • Coordinates with the Director of Facilities & Maintenance for event, rental and group sales assistance, including event set-up and take-down (tents, tables, chairs, decorations, signage, etc.).
  • Conducts inter-department briefing and debriefing meetings for individual events; coordinates with colleagues across all departments on relevant event elements (over please).
  • Serves as lead organizer and main contact for the annual Farmstasia fundraising gala and V.I.P. fundraising event (develop event budgets, coordinate committee planning meetings and agendas, develop and execute event logistics, etc.).
  • Manages the promotions, client relations and execution of facility rental events and group sales.
  • Serves as an active and contributing member of a team-based work environment, including as a member of the Development Team and the Management Team.
  • Promotes rental of LHF facilities to corporate groups, senior clubs (through banks, etc.) bridal shows and other avenues.
  • Other duties as assigned.
