BILLING OFFICER

 

Job Specifications:

Education: Minimum bachelor's degree (B.Com or equivalent)

Experience: At least 3 years of relevant experience

 

Job Responsibilities:

  1. Receive bills and set stamp on the receiving date.
  2. Record all bills in BMS (Billing Master Sheet) before starting any process.
    1.  bills for
    2. correct prices (matching with PO),
    3. qty (not exceeding PO Qty),
    4. vendor name (matching with PO) and
    5. ensure GRN (for billed qty)  is made.
  3. In case GRN is not made arrange DC depicting that the material was arrived
  4. Ensure there is no return/rejection is done till the time of bill processing.
  5. In case of return/rejection, inform to the purchaser to and ‘hold’ the bill by marking remarks on BMS ‘Purchases Return on dated DD-MM-YYYY’.
  6. Send all verified bills in Audit Department within 3 days of their receiving date and mark submission date in BMS.
  7. Liaison with Audit Team for the earliest releasing of bills.
  8. Respond audit queries with the coordination of Procurement team.
  9. Collect audited bills and ensure all the submitted bills are returned, mark return date in BMS.
  10. Scan all audited bills only one time for Tax & Finance Team and upload in SAP-CMS.
  11. Submit all bills physically in Finance Department for cheque processing.
  12. Collect cheques form Finance and inform vendors/vendors by call/emails
  13. Hand over cheques to vendors by hand or by courier and keep evidence of receipt either their sign or courier receipt.
  14. Hold the payment process at any stage of time, if its communicated that the items have been returned due to any reason.
  15. Submit BMS to DM/MGR on daily basis
  16. Enlisting of new vendors in SAP by coordinating with Tax & MDC.
  17. Arranging Withholding Tax Challans
