• Interacts with directors and carries out their directives.
  • Manage and maintain Directors' schedules.
  • Make travel arrangements for Directors and the Head Office Staff.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software as required by the directors.
  • Answer & direct phone calls to respective departments.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Prepare agendas and make arrangements, such as coordinating catering etc.
  • Conduct research, compile data, and prepare papers for consideration and presentation by the Directors.
  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • File and retrieve corporate documents, records, and reports.
  • Attend meetings to record minutes &compile/communicate the minutes to respective HODs/Managers, when required.
  • Set up and oversee administrative policies and procedures for organization.
  • Meet with individuals, special interest groups, and others on behalf of Directors, if required.
  • Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
  • Provide basic and accurate information in-person and via phone/email.
  • Supervise administrative staff and divide responsibilities to ensure performance.
  • Arranges meetings by scheduling appropriate meeting times and planning refreshments.
  • Collection of data, processing the production, and distribution of employee ID cards.
  • Providing assistance in payroll processes.
  • Assist in recruitment activities by reserving meeting rooms for interview.
