Responsibilities:

  • Manages the reception area completely to ensure effective telephone and mail communications both internally and externally.
  • Responsible on a daily basis for ensuring the smooth operation of the office and administrative functions, as well as providing administrative support to the Executive Director.
  • Responsible for organizational functions and general meeting support: including arranging, follow up calls, maintaining office space schedules, securing food and supplies, copying + faxing, Scanning
  • Provide support for teams: staff travel arrangements and expense tracking, and manage office supplies, etc.
  • Arrange travel reservations for the Executives, Managers and Office staff as required.
  • Coordinating incoming and outgoing mail, packages, and deliveries
  • Maintaining office records, including records of all relevant office expenses                                                        
  • Making photocopies, sending faxes, shredding documents
  • Scheduling meetings, appointments & manage conference room reservations and organize all aspects for meetings.                                                                                       
  • Greets visitors and answer and disseminate calls.
  • Arrange runner and direct him to perform external tasks of banks, organizations etc.
  • Serve as point person for organizing all large mailings.
  • Update various spreadsheet sheets and other general administrative duties.
