I.  JOB SUMMARY:

HR Assistant is responsible to provide support in all HR processes. The duties of this position include but not limited to: support HROD Officer in recruitment & selection, New joiner orientation, health insurance claim processing and administrative functions in HR unit.   

 II. RESPONSIBILITIES AND TASKS

 

Job Responsibility #1: Efficient and Effective Human Resource Recruitment:                           % time: 30%

§  Assist HR&OD Officer in advertising the vacant positions.

§  Making telephone calls to short-listed candidates and taking care of logistics for the interview including preparation of Interview Files.

§  Update all the hiring managers on the hiring status of position and keep in loop on every stage of recruitment.

§  Orient new staff on contractual obligations at the time of Joining. Organize the monthly induction weeks to help them settle in quickly resulting in less conflicts and policy violations.

§  Provide support in tender submission process by identifying and providing relevant CVs from pool.

 

Job Responsibility #2:  Benefit Management                                                                                           % time: 30%

§  Assist in reviewing OPD and IPD claims to ensure accuracy and complete documentation and submit to Finance and insurance company respectively.

§  Provide guidance to field office staff regarding benefits

 

Job Responsibility #3: Staff Training and development                                                                       % time: 10%

§  Maintain record of staff registered on CARE Academy and update the list to add/delete IDs.

§  Ensure that all staff completes the mandatory courses on Care Academy.

 

Job Responsibility # 4 Effective staff transition process and Departures                                                      % time: 20%

§  Orient staff on checkout sheets and ensures completion of clearance before staff departure.

§  Complete all the required documentation and processes are followed while any staff departs

§  Arrangement of Farewell, gift and Shield for the departing staff as per policy  

 

Job Responsibility # 5 HR Administrative Tasks and Customer Support                                    % time: 10%

§  Orient staff on PAR and ensures that PARs are filled appropriately and are submitted on time

§  Prepare Note to Files whenever required.

§  Booking calendars and inviting agendas for monthly all staff meeting. 

§  Any other task as assigned.
