Job Description

ADMINISTRATION:

·         To ensure the smooth operations of administration related matters

·         To ensure maintenance of inventory for all company vehicles, including Cars, Shehzore, Bolan, Tractors and Motorcycles to be updated on a monthly basis in report format

·         To ensure updated record of Insurance, Registration, Original Number Plate, Log Books, Service History and maintenance history of all above mentioned company vehicles as individual files and monthly summary in report format

·         To ensure proper vehicle repairs and make Insurance claims in case of any accident

·         To ensure maintenance of log books of all company vehicles and proper documented handing taking over while issuing employees any company vehicle for official use

·         To ensure check and balance of company fuel expenses, both on official vehicles and fuel allowances provided to company employees

·         To ensure monitoring the attendance, office timings and leave record of employees, both at Head Office and Project Sites

·         To ensure and monitor Head Office Budgeting for Expense Control

·         To ensure verification of all bills and expenses of head office

·         To ensure appropriate action legally or personally against theft, fraud or any other violation of company rules and regulations

·         To ensure registration of FIRs in Police Stations and related follow-up on behalf of the company

·         To ensure updated record and attendance of Court Legal cases on behalf of the company while also representing the company before Jude/ Magistrate

·         To ensure liaison with Lawyer, police, culprit as a company representative

·         To ensure administrative support for all company adds to be placed in Newspapers

·         To ensure suitable staff accommodation for employees, both at Head Office and Project Sites

·         To ensure office cleanliness and maintenance, both at Head Office and Project Sites

·         To ensure good quality food, water and other amenities for Head Office and Project based employees

·         To ensure hiring of support staff as per company requirement to ensure smooth running operations

·         To ensure monthly monitoring and reporting of all Head Office and Project Sites monthly expenses

·         To ensure development and implementation of SOPs for all above mentioned processes

·         To ensure visit of different projects for audit of Admin team and check SOPs implementations
